MINUTES
CITY OF THE COLONY
LIBRARY BOARD
DECEMBER 1, 2011
A REGULAR SESSION of the LIBRARY BOARD of the City of The Colony, Texas, was
called to order by Chair Gehrke at 7:05 p.m.

1. Citizen Input.
None.
2. Consider approval of the minutes of the October 20, 2011 Regular Session.
Vice-Chair Rushing moved to approve the minutes as presented. Member Krueger
seconded the motion and the motion passed unanimously.
3. Discussion and reports regarding implementation of Library Board 2011 goals
and projects.
a. Increase awareness of state and national library legislative issues.
No report.
b. Customer and community surveys.
Discussed under items 6.a.i. and 6.b.ii. below.
c. Board presence at TCPL events and participation in TCPL public relations
activities.
Member Krueger participated as a volunteer at TCPL's booth at the Salute to
American Heroes event. The booth was well-placed between the street and the
carnival but high wind created challenges in setting up and maintaining the booth.
Approximately 360 contacts were made.
d. TCPL 2012 30th anniversary celebration.
The Board discussed the events planned for the celebration. The celebration will
start on Saturday, February 11 with local history tours of The Colony offered as
ticketed events at 10 a.m. and 2 p.m. using the Fun Times bus. The tours will be
narrated by Don Beckel, author of Bridges to the Future: the Pre-incorporation
History of The Colony, Texas; participants will receive a copy of his book.
Between the morning and afternoon tours, participants may gather at the Library
for refreshments and a presentation by Robin Cole Jett, author of Traveling
History with Bonnie and Clyde. Performers are being booked to provide
entertainment in the Library throughout the day. The celebration will continue on
Sunday, February 12; performers are being sought for that afternoon. A staff
appreciation event is being considered for the evening of Monday, February 13.
Presentation of awards for the youth, teen, and adult writing contests will be on
the evening of Tuesday, February 14; presentation of the awards for the anime

art, film, and writing contests will be on the evening of Wednesday, February 15.
A commemorative program will be produced and will include recognition of
business and individual sponsors. Chair of the 30th Anniversary Planning
Committee Wayne Bullard is working with The Colony Chamber of Commerce to
reach more potential sponsors through the Chamber's membership. The next
meeting of the 30th Anniversary Committee is scheduled for December 13tH

4. Discuss Library Board goals for 2012
Suggested goals included becoming more actively involved in TCPL projects and
events, working to recruit volunteers to get the AARP Tax Help program back at
TCPL, continuing visits to other libraries (Director Sveinsson suggested takingy
pictures to augment reports from library visits), and assisting with February's 30t
Anniversary events.
5. Receive update and discuss the following Friends of the Library activities.
a. December events: Pictures with Santa; "Nutcracker in a Nutshell" puppet
show.
FOTCPL PRESENTS! Pictures with Santa is scheduled for Saturday, December
3rd from 12 - 2 p.m.; the cost is $2 per picture. The Fiddle Rascals will provide
musical entertainment. FOTCPL PRESENTS! "Nutcracker in a Nutshell" is
scheduled for Thursday, December 15th at 7 p.m.
b. Expanded options for membership application, dues payment, and
donations.
The membership application is now available via TCPL's website thecolonypl.org;
payments for membership dues and FOTCPL sale items may be paid online and
donations made via PayPal.
6. Receive update from staff and discuss the following items:
a. Public Relations Events and programs:
L Library Snapshot Day.
Library Administrative Assistant Jeannie Baellow coordinated this October 25th
event which is sponsored by the Texas Library Association. She reported that
447 customers visited the Library and 671 materials were checked out on
Snapshot Day. Eighty-seven customers completed surveys and 50 expressed
their opinions in writing, which were overwhelmingly positive. The photos
taken throughout the event have been uploaded to TCPL's Flickr account and
are accessible through the Library's website.
ii. Overdrive Digital Bookmobile.
Adult & Outreach Services Librarian Nancy Boykin coordinated this event.
Director Sveinsson reported that 120 customers toured the bookmobile, a 74-
foot outreach vehicle, which visited the Library on November 3rd; it was open
to the public from 1:30 to 7:30 p.m. The vehicle is equipped with broadband
Internet-connected PCs, high definition monitors, premium sound systems,
and a variety of portable media players, to help visitors explore TCPL's
download service. Interactive learning stations gave visitors an opportunity to
search the Library's digital media collection, use supported mobile devices,
and sample eBooks, audiobooks, music, and video.

iii. Salute to American Heroes Library event booth.
Director Sveinsson, Administrative Assistant Jeannie Baellow, Circulation
Clerk Tammy Beauchamp, Reference Librarian Melissa Veach, and Board
Member Krueger set up and staffed TCPL's booth. Despite the high winds,
approximately 360 contacts were made.
iv. Holiday in the Park.
Director Sveinsson and the TCPL TAP members will hand out flyers promoting
the holiday puppet show and brochures promoting TCPL's teen program
during the Saturday, December 3rd event.
b. Service improvements:
L Event Signage.
Sign holders have been placed at eight locations throughout The Colony,
including Austin Ranch; one is planned to be placed at The Tribute in the
future. TCPL has been allotted three spaces of each sign holder; some will be
two-sided. The signs adhere to the sign post magnetically and will be posted
on a rotating schedule to announce upcoming events. Technical Services
Librarian Megan Charters created the graphic designs and layout for the
signs.
ii. Implementation of on-going customer satisfaction survey.
TCPL has launched its on-going online Counting Opinions survey in order to
obtain and analyze customer feedback pertaining to its services, facility, staff
and programs. The survey is available in brief, regular, or in-depth
questionnaire format on the Library's website.
c. North Texas Library Partners (NTLP) membership.
Director Sveinsson is reviewing information in regard to the possibility of TCPL
becoming an NTLP Partner. Benefits include vendor discounts, including
discounts on library materials. The cost of membership for TCPL is $2,000 based
on the city's population; it is anticipated that the expense would be offset by the
savings.
d. Review list of December and January Library programs.
The Board members reviewed the list; highlights include:
• Online resource of the month: Biography in Context which gives contextual
information on the world's most influential modern and historical figures.
• TAP's "Read the Movie" will feature Jim Carrey in Lemony Snicket's A Series
of Unfortunate Events" on January 5th
• Pokemon Tournament: Saturday, January 28th at 6:30 p.m. $2 entry fee.
The next Board meeting is scheduled for January 26, 2012.
