MINUTES OF THE LIBRARY BOARD
OF THE
CITY OF THE COLONY
August28,2008
A REGULAR SESSION of the Library Board of the City of The Colony, Texas, was called to order
by Chair Clark at 7:00 p.m.

2. Consideration and approval of minutes of the board meeting held on July 24, 2008.
The minutes were approved as presented.
3. Review of Board member notebooks.
The consensus of the Board members was to eliminate the notebooks; those members who
did not bring them were asked to turn them in to Secretary Chantrill by the next meeting.
4. Library Director's report.
a. Status re: operations.
Director Sveinsson introduced Lynette Roberson, an MLlS student who is doing her
Practicum at TCPL. Lynette had previously worked as a temporary Computer Assistant at
TCPL. Ms. Roberson has been assisting with the current promotional activities and is
interested in learning more about public library administration.
Director Sveinsson has made presentations about the Library's electronic service to
teachers, students, and parents at various school events this month, including teachers
meetings at five elementary school, both middle schools, and the high school, as well as
the three grade level orientations at Griffin Middle School. The Library was also invited to
issue library cards and provide information about TCPL's services at Peters Colony
Elementary School's "Meet the Teachers" event; 20 new cards were issued at that event.
TCPL also staffed a booth at Park and Recreation's Back to School Bash, at which 56 new
cards were issued and information was provided to over 600 students, as well as their
siblings and parents. TCPL has also been invited to issue library cards and provide
information at the Lakeview Middle School Open House in September.
The new reference desk components have arrived and have been installed. The new desk
is more compact; staff is reorganizing the information materials and supplies to be kept
there to just those items that are necessary for efficient operation of the service desk.

Some "after-market" additions will be made to the components to more effectively store the
equipment and supplies for the service desk.
The replacement public access computers and servers have been received and have been
installed.
TCPL took possession of an older model paper folding machine that Parks & Recreation
no longer needed; after successfully cleaning the machine and rejuvenating the rollers,
staff now has the in-house capability of folding approximately 100 tri-fold brochures per
minute. Given the large amount of publicity material being produced for the current
promotional events, this machine has truly increased efficiency of production.
The preliminary budget for FY 2008-09 proposed by the City Manger includes a 4% COLA,
an additional $13,000 for the Library's collection development budget, funding for the
replacement of the rest of the public access computers, and funding to r-carpet the entire
City Hall and Library facility.
b. Status report re: grant projects:
Using Loan Star Libraries Grant funds, a new love seat and matching chair have been
ordered for the adult reading area. Book Tapestry fabric has been ordered to reupholster
five existing chairs. Loan Star funds have also been used to acquire a banner stand
featuring the "Information, Imagination, Inspiration, Innovation - Find it at The Colony
Public Library" graphic designed by Technical Services Librarian Charters, as well as for
banners to be placed on traffic signal poles; these banners will also bear the same graphic.
Loan Star funds were used for the one-year subscription to Survey Monkey, which is the
tool being used for the online portion of the surveys that staff is conducting. The online
and in-person survey about adult program offerings is still in progress. In-person
submissions are input by staff; Survey Monkey tabulates the results. The link to the results
of the DVD survey is posted on TCPL's catalog site.
Adult & Outreach Services Librarian Boykin is ordering the audio books in CD format
funded by the Texas Book Festival Grant; over one half of the grant has been expended.
c. Update re: Friends of the Library activities.
The next book sale will be on September 6th in conjunction with the Meet the Authors
event.
The next Library Board meeting is scheduled for September 25, 2008.
