HomeMy WebLinkAbout04/26/07 Library MINUTES OF THE LIBRARY BOARD OF THE CITY OF THE COLONY April 26, 2007 A REGULAR SESSION of the Library Board of the City of The Colony, Texas, was called to order by Chair Clark at 7:03 p.m. Present: Sandi Gehrke Diana Kruzich Wanda Spears Lorraine Clark Wayne Bullard Sue Parks Joan Sveinsson Jo Chantrill Jayme Skelton Absent: Place 1 Place 2 Place 3 Place 4 Place 6 Place 7 Library Director Library Secretary Place 5 (Business) (arrived at 7:37 p.m.) 1. Citizens Input. None 2. Consideration and approval of minutes of the board meetings held on January 25, 2007 and March 29, 2007. The minutes of the January 25, 2007 meeting were approved as presented. The minutes of the March 29, 2007 meeting were approved with the following corrections: the next FOTCPL book sale will be on June 2nd and the Board meeting was scheduled for April 26, 2007. 3. Review of Board Member notebooks. It was agreed to table this item to the next meeting. 4. Discussion and consideration of recommendations regarding appointment of representative and alternate representative to the North Texas Regional Library System for the 9/1/07-8/31/09. Member Gehrke moved to recommend appointment of Sue Parks as representative and Lorraine Clark as alternate representative. Member Kruzich seconded the motion. The motion passed unanimously. 5. Library Director's Report: a. Status report re: operations Linda Barnhart, who has served as a temporary Circulation Clerk for a number of years, began work as the new full-time Support Services Clerk this week. As part of the city-wide deployment, all library staff computers have been replaced, with the exception of Director Sveinsson's laptop - which is scheduled to be replaced next week. None of the public access computers are scheduled to be replaced this fiscal year. The Annual Mother/Daughter Tea is scheduled for Saturday, April 28th. Staff is preparing for summer reading clubs and programs. The City website is being redesigned; Director Sveinsson and Reference Librarian Margolis will attend training in preparing postings for the site. Director Sveinsson and Reference Librarian Margolis attended the Texas Library Association Annual Conference in San Antonio this month. A new format of audiobook has been added to the collection. Called a "Playaway", it is a self-playing digital audio book that is small enough to fit in a shirt pocket. Each Playaway has a universal headphone jack that works with almost any type of headphone or amplifier. A standard AAA battery provides the power. The Library will not provide the headphones or batteries. The Library Management Team, as part of its on-going review and evaluation of procedures, has determined that it is no longer cost-effective to continue to house videos in security cases. The video format is no longer a high demand or high theft target and the elimination of the use of the cases for this format will increase speed of service at the circulation desk and speed up turnaround time for returning the videos to the shelves. The security cases fit the new Playaways and will be used to secure them. b. Status report re: FY 07-08 CIP, new personnel, and budget requests. The CIP and New Personnel requests have been reviewed with the City Manager, Assistant City Manager, and Finance Director. Staff is working on budget documents for the FY 06-07 projections and FY 07-08 request. c. Status report re: grants. Director Sveinsson has submitted the application to CoServ Charitable Foundation for a grant to fund the Library's Live Homework Help ™ service; the grant committee meeting was scheduled for April 24th; Director Sveinsson has not yet been notified of the committee's decision. The Library did not win the Amazon "Wish for Lit" contest - the public library award went to The Anchorage (Alaska) Municipal Libraries. The staff still has a lot of work to do on the Loan Star Grant project for this fiscal year. d. Update re: Friends of the Library activities. The FOTCPL Annual Meeting will be held Saturday, April 28th at 6:30 p.m.; the entertainment portion will be a showing of the movie "The Librarian: Quest for the Spear". FOTCPL is now selling earbuds, which may be used for the Playaways and for the public access computers. The next book sale is scheduled for Saturday, June 2, 2007. The next Library Board meeting is scheduled for May 24, 2007, at 7:00 p.m.; the members of the Board discussed the possibility of canceling that meeting as Director Sveinsson is planning to be on vacation. The consensus was that the meeting would be canceled unless an item arose that could not be postponed to the June 28, 2007 meeting. Director Sveinsson will notify the Board via email in mid- Mayas to whether the May meeting will need to be held.
