HomeMy WebLinkAbout01/28/07 Cultural Arts I CITY OF THE COLONY DENTON COUNTY, TEXAS MINUTES OF THE CULTURAL ARTS BOARD OF THE CITY OF THE COLONY January 28, 2007 A REGULAR SESSION ofthe Cultural Arts Board of the City of The Colony was called to order by Chair Whitmore at 7:09 pm. Present: Neale Whitmore Cynthia Shailer Liz Ripperger Amy Long-Manuel Joan Lux Place 3 Place 4 Place 6 Place 7 Place 5 1. Citizen Input None. 2. Discussion of possible upcoming arts events I None. 3. Discussion of New York City Ballet event Member Long-Manuel distributed an information packet which included technical riders and a budge for the possible event. She stated that July was a good month to look at, since that was a slow time for the high school (TCHS) (which would be the location), local hotels and for the ballet company. Discussion included the following issues: . Is the stage at TCHS large enough? (It is, according to the technical rider) . Can we use rosin on the TCHS stage? (Answer was unknown.) · Will Lewisville Independent School District (LlSD) use its own crew and/or is union crew needed, and would that add to total cost? . Ifthere was a charge for tickets, how would sales be handled? . What other hidden costs might there be? · How many performances would there be and would it be possible to hold a master class while the company is in town? The board agreed to make a fmal decision at the February 10th meeting, to either go ahead with the event for this year or to decide to delay it until a later time. I 4. Discussion of performance floor, possibility of purchase by city or use of Hotel Occupancy Tax funds. The board recommends that the Parks and Recreation department replace their portable stage. 5. Discussion and drafting of policies, procedures and fee schedules for consideration and recommendation to the City Council for the Lakeside Arts Center. Specific topics to include (but are not limited to): I a. Written policy b. Security c. Person in charge of keys and scheduling d. Re-keying of building Discussion included the following issues and concerns: · If users are paying for use of building, they will have certain expectations . Parts of building that can be used . Non-profit status of users . Recommendation to city council of hiring staff . Where money for use gets collected Member Long-Manuel suggested a calendar be posted at the facility to reflect all usage. Specific wording of policy was gone through and changes were made. Chair Whitmore moved that all changes be approved, member Ripperger seconded the motion. It passed unanimously. I 6. Discussion and consideration of current users of the Lakeside Arts Center, their agreements for use of the center and how those agreements will be affected by adoption of an official policy. Tabled.
