A REGULAR SESSION of the Cultural Arts Board of the City of The Colony was called to order
by Acting Chair Whitmore at 9:18 a.m.

2. Minutes
I a. Consideration of approval of the minutes of the Cultural Arts Board meeting held
November 13,2004
The minutes were approved as presented.
b. Consideration of approval of correction to the minutes of the Cultural Arts Board
meeting held September 18, 2004
The corrected minutes were approved as presented.
3. Liaison's Report
a. distribution of contact information
Liaison Boykin distributed a list of the Cultural Arts Board Members with contact
information. She explained that there is no option to keep information private for Board
members.
b. operating rules and procedures
Liaison Boykin explained that the Cultural Arts Board operates under the Open Meetings
Act, and that the agenda for Board meetings has to be posted at City Hall 72 hours before
the meeting. She also explained that the Chairperson sets the agenda.
I 4. Election of Cultural Arts Board Officers
a. election of Chair
Member Martin moved that Member Whitmore be elected as the Cultural Arts Board
Chair. Member Lux seconded the motion and the motion passed unanimously.
b. election of Vice Chair
Chair Whitmore nominated member Martin for the Cultural Arts Board Vice Chair.
Member Ledesma seconded the nomination. Member Martin nominated member
Ledesma for the Cultural Arts Board Vice Chair. Member Parker seconded the motion.
The nominations passed unanimously. A vote was taken for Member Martin as Vice
Chair, the motion passed 5 aye, 1 abstention.
5. Discussion and consideration of recommended usage guidelines for ArtsN eterans
building
Vice Chair Martin reported that she had received a copy of the lease agreement between
Denton County and The Colony for the building. She stated that the insurance was
covered, the City would supply basic maintenance, and that the Cultural Arts Board was
responsible for overseeing usage of the building.
6. Discussion of progress of planned Civic Center
The Board discussed the upcoming joint session on January 18th of the City Council, the
Community Development Corporation Board and the Cultural Arts Board that will be
held to discuss issues related to the planned Civic Center.
7. Discussion and consideration of authorizing Chair to write a letter on behalf of the
Cultural Arts Board formally asking the mayor to place a Cultural Arts Board member or
members on the Civic Center Building Committee
Member Shailer moved that the Board authorize the Chair to write a letter on behalf of
the Cultural Arts Board formally asking the mayor to place a Cultural Arts Board
member or members on the Civic Center Building Committee. Vice Chair Martin
seconded the motion. The motion passed unanimously.
8. Discussion of possible city banner project
There has been no progress on this project at this time.
The meeting adjourned at 10:00 a.m.
