ORDINANCE NO. 0 ~' [3 ~
AN ORDINANCE OF THE CITY OF THE COLONY, TEXAS,
AUTHORIZING THE CITY MANAGER TO ENTER INTO A CONTRACT
WITH CITY-CRM. COM FOR PURCHASE OF CUSTOMER SERVICE
SOFTWARE; ATTACHING THE APPROVED FORM OF CONTRACT AS
EXHIBIT "A"; AND PROVIDING AN EFFECTIVE DATE.
BE IT ORDAINED BY THE CITY COUNCIL OF THE CITY OF THE COLONY,
TEXAS:
SECTION 1. That the City Manager of the City of The Colony, Texas is hereby authorized
to execute on behalf of the City a contract with City-CRM.Com for purchase of Customer Service
Software. The approved form of contract is attached hereto as Exhibit "A", and made a part hereof
for such purposes.
SECTION 2. This Ordinance shall take effect immediately from and after its passage by the
City Council of the City of The Colony, Texas.

Thank you for choosing City-CRM.Com for your citizen relationship management
online solution. Please review this document and fill out all blanks if possible.
The timeline to get the City of The Colony online is approximately four to five
weeks after this document is returned with payment.
A. Contract Length
This contract will be for the length of one (1) calendar year from the start of
the online package. The date will officially be noted when the software is
installed and the City is satisfied with the layout, Iogos, etc. Thirty (30) days
before the contract is to expire, the City will be given the option to renew for
another year at the fee of $1,348.00.

F. Administrative Passwords
We will provide all passwords for the administrative section. Each person
who needs access to this section will be given a unique password. Please
use the list below for those who need a password.

G. Secured Socket Layer (SSL)
A SSL will be purchased and installed on the domain. The issuer will be
with Verisign, Inc. This service enables visitors to verify the site's
authenticity and to communicate with it securely via state-of-the-art SSL
encryption, which protects confidential information from interception and
hacking.
The renewal fee includes the annual fee for the SSL.
H. Security and Privacy
All names and passwords are kept on file with City-CRM.Com. Any
changes or additions can be made at any time, and should be submitted in
writing. Additionally, any changes must be submitted by the Primary
Contact person or by the City Manager.
All data and information submitted, by citizens and by the City, is kept
private. At no time during or after the contract is expired, will City-CRM.Com
use the information for any purpose.
We provide 24 hour tape backup of all data. Should any problem arise, the
City will be notified immediately, and all data will be restored promptly.
I. Future Additions and Updates
This contract covers any updates, changes or additions to the software code
and the contents. This includes future versions of the software, any updates
to the problems content, or to add or subtract staff from the system. The
City will automatically receive upgrades add not charge throughout the life of
the contract.
