HomeMy WebLinkAboutMinutes - Library Board - 10/23/2025 - Regular�&CQ��Y CITY OF THE COLONY LIBRARY BOARD MINUTES c;ry b`' taw Lake THURSDAY, OCTOBER 23, 2025 7:00 PM The Regular Session of the Library Board of the City of The Colony, Texas, was called to order at 7:01 p.m. on the 23rd day of October 2025 at City Hall, 6800 Main Street, The Colony, Texas, with the following roll call: Sandi Gehrke, Vice Chair Cynthia Worthen Margaret Heermans Kathleen Linch Joanna Krueger Jarrett Davis Maria Joseph, Chair Judy Ensweiler Megan Charters Karla Storm Place 1 Present Place 2 Present Place 3 Present Place 4 Absent Place 5 Present Place 6 Present Place 7 Present Council Liaison Absent Staff Liaison Present Recording Secretary Present 1.0 ROUTINE ANNOUNCEMENTS, RECOGNITIONS AND PROCLAMATIONS Director Charters reminded Board Members that the next meeting will be Thursday, December 4. 2.0 CITIZENINPUT This portion of the meeting is to allow up to five (5) minutes per speaker with a maximum of thirty (30) minutes for items not posted on the current agenda. The board may not discuss these items, but may respond with factual data or policy information, or place the item on a future agenda. Those wishing to speak shall submit a Request Form to the board secretary. No report. 3.0 CONSENT AGENDA The Consent Agenda contains items which are routine in nature and will be acted upon in one motion. Items may be removed from this agenda for separate discussion by a board member. 3.1 Consider approval of minutes of Library Board meeting held September 25, 2025. The Board reviewed the minutes. Motion to approve, the above consent agenda item — Heermans; second by Krueger; motion passed with all ayes. 4.0 REGULAR AGENDA ITEMS 4.1 Discuss and receive reports regarding the progress on Library Board Goals and Projects for 2025: REGULAR SESSION of the LIBRARY BOARD Minutes Meeting Date: 10/23/2025 Page - 2 A. Continue to maintain legislative awareness of pertinent library issues. Director Charters reported that one of our community partners, Legal Aid of North West Texas, has lost their federal funding and may not be able to partner with us any longer. B. Continue to assist in representing TCPL at library, school, and community activities. TCPL participated in the Teen Outreach program at Griffin Middle School, handed out candy and library information at National Night Out, and participated in the Camey Elementary Trick -or -Treat night. C. Initiate contact and work to form partnerships in the community to introduce TCPL's services and resources and to serve as an information source for the community. A representative from the National Alliance on Mental Illness (NAMI) of North Texas came and gave a presentation to the TCPL staff during Staff Development Training on October 17; they will partner with TCPL in the spring. Other spring partners will be Sewcial Creations teaching sewing classes and the United Way Volunteer Income Tax Assistance (VITA) will help patrons with their taxes. D. Compile input and receive approval from Library Board on Strategic Plan revisions. Board Chair Jospeh shared her observations of the responses we received from the 2026 — 2030 Strategic Planning Survey. The highlights were the positive comments on the TCPL staff; the importance of the library's role in the community; the activities at the library; the hours, space and availability of current books and online resources; youth activities; the need for programming for children with special needs; and involving citizens of The Colony to give training and presentations in areas of their professional fields. 4.2 Receive a presentation and discuss staff updates regarding recent library software migration. TCPL is winding up a six-month process of migration to a new Integrated Library System. The final data migration was October 17 to 20. Director Charters gave a tour of the new catalog to the Board. 4.3 Receive a presentation and discuss staff updates regarding public relations events, programs, services, and community partnerships. Director Charters reviewed September's program and event statistics with the Board. Upcoming Early Literacy Activities: Weekly Early Literacy Story Times on Tuesdays and Thursdays; Little Nugget Story Time at Chick-fil-A; Baby Rave dance party for young children; Little Artists, a program for messy art projects designed to develop children's fine motor skills. REGULAR SESSION of the LIBRARY BOARD Minutes Meeting Date: 10/23/2025 Page - 3 Upcoming Family Activities: Spice Club Pop -Up: Homemade Holiday Gifts; Art Club Kits: Eric Carle; Interactive Book Boxes for Adults, Young Adults, Tweens, and Children. Adult Activities: Virtual Author Talks; Social Safety and Support; Legal Aid of North West Texas; and Medicare Seminar. 4.4 Receive a presentation and discuss updates regarding Friends of The Colony Public Library activities. Friends of The Colony Public Library meet November 13 at 6 p. m. in the Library Conference Room.
