THE COLONY TREE ADVISORY BOARD
SPECIAL SESSION
AUGUST 24th 2009

1. CITIZEN'S INPUT-
None.
2. APPROVAL OF MINUTES OF FEBRUARY 12TH 2009, MARCH 12TH 2009 AND AUGUST 13TH
2009-
Motion to approve the minuets of February 12`", March 12'h and August 13`" - Sanders; second - Mahle;
motion passes.
3. DISCUSSION OF POLICIES AND PROCEDURES FOR CITY ADVISORY BOARDS -
City Council recently approved an amendment to the Policies and Procedures for City advisory boards
regarding meeting attendance - the policy already states that a board member can't have more than 3
consecutive absences, but now they also can't be absent for more than 25% of the meetings in any 6 month
period. During board meetings, the board chairman is also supposed to announce the names of the board
members who are absent for the record. There is no difference between an excused or unexcused absence.
City Council will probably appoint a new board in a couple months.
4. DISCUSSION OF A WORK PLAN -
Keith distributed the 2009 work plan. One of the requirements of being a Tree City USA is having an annual
work plan established. He is currently gathering information from other departments, including Parks &
Rec., on tree planting and maintenance activities. Street reconstruction projects include adding trees. A
suggestion was made that we should ask other city departments for their project lists next year that include
trees. In the work plan, Volunteer hours can be included and a value can be assigned. There is $3, 000 -
$5, 000 in the Parks & Rec. operational budget to plant new trees.
There was discussion about adding a tree inventory for each park to be included in the work plan. The
inventory would include the tree size, type and condition. Taking a tree inventory could be a project for a
scout troop or school science class. The idea of making a Memorial Forest on the open space along John
Yates was discussed. The Adopt-A-Tree program needs to be promoted more.
Keith will prepare a recap of expenditures.
There being no further business to discuss, the meeting was adjourned at 6:30 p.m.
