HomeMy WebLinkAboutMinutes - Library Board - 05/23/2024 - Regular�;THE CITY OF THE COLONY OLONY LIBRARY BOARD MINUTES City b, die Lakr THURSDAY, MAY 23, 2024 7:00 PM The Regular Session of the Library Board of the City of The Colony, Texas, was called to order at 7:00 p.m. on the 23rd day of May 2024 at City Hall, 6800 Main Street, The Colony, Texas, with the following roll call: Sandi Gehrke Cynthia Worthen Margaret Heermans, Vice Chair Jonita Harris Joanna Krueger Jarrett Davis Sarah Fried, Chair Judy Ensweiler Megan Charters Karla Storm Place 1 Present Place 2 Present Place 3 Present Place 4 Absent Place 5 Present Place 6 Present Place 7 Present Council Liaison Present Staff Liaison Present Recording Secretary Present 1.0 ROUTINE ANNOUNCEMENTS, RECOGNITIONS AND PROCLAMATIONS No report. 2.0 CITIZEN INPUT This portion of the meeting is to allow up to five (5) minutes per speaker with a maximum of thirty (30) minutes for items not posted on the current agenda. The board may not discuss these items, but may respond with factual data or policy information, or place the item on a future agenda. Those wishing to speak shall submit a Request Form to the board secretary. No report. 3.0 CONSENT AGENDA The Consent Agenda contains items which are routine in nature and will be acted upon in one motion. Items may be removed from this agenda for separate discussion by a board member. 3.1 Consider approval of minutes of Library Board meeting held March 28, 2024. The Board reviewed the minutes. Motion to approve the above consent agenda item — Heermans; second by Gehrke; motion passed with all ayes. 4.0 REGULAR AGENDA ITEMS 4.1 Discuss and receive reports regarding the progress on Library Board Goals and Projects for 2024: REGULAR SESSION of the LIBRARY BOARD Minutes Meeting Date: 05/23/2024 Page - 2 A. Continue to maintain legislative awareness of pertinent library issues. Director Charters sent an email to Board members from the American Library Association regarding the #FundLibraries campaign, asking library stakeholders to sign letters of support to Congress for libraryfunding in the fiscal year 2025 budget. B. Continue to assist in representing TCPL at library, school, and community activities. Members Davis and Heermans added books to the Little Free Libraries in neighborhood areas of The Colony. C. Initiate contact and work to form partnerships in the community to introduce TCPL's services and resources and to serve as an information source for the community. Director Charters gave Library information magnets, pens, and copies of the Play TC! catalog to the Chamber of Commerce to include in their new resident bags. Stonebridge Health is a new business location for FOTCPL 's Neighborhood Bookshelf. D. Compile evidence and anecdotal information relating to Library needs in regard to advocating and informing stakeholders about future Library space. In regards to the future library renovation, Director Charters will be taking online and in person courses about modern library planning and design. 4.2 Receive a presentation and discuss library advocacy components and strategies. Director Charters gave a presentation on the importance of advocacy in the role of Library Board member. It includes raising the library's profile among decision makers and community stakeholders, showing how the library supports community priorities, supporting specific library and program needs, and keeping the library and its work visible in the community. Successful advocacy grows out of broad knowledge about the library mission, goals, and programs combined with a deep passion for the library as an essential anchor institution and a champion of equity, inclusion and democracy. 4.3 Receive a presentation and discuss updates regarding The Colony Summer Kickoff on June 1, 2024. The Library will host its third annual The Colony Summer Kickoff on June ]from 10 a.m. to 1 p.m. The event raises community awareness of all of the activities, programs, and promotions that will be available for them in The Colony throughout the summer. Participating City departments are TCPL, Convention and Visitors Bureau, Park and Recreation Department, Aquatics, Senior Center, Animal Services, and the Police and Fire Departments. Partners and vendors will include FOTCPL, Mission TC, Keep The Colony Beautiful, Hawaiian Waters, Galaxy Theatres, Honest-1 Auto Care, Chick-fil-A, Robert Arista Illustrations, and DFW Face REGULAR SESSION of the LIBRARY BOARD Minutes Meeting Date: 05/23/2024 Page - 3 Paint. The TCPL Spice Club will also give out 144 free snack boxes filled with U.S. regional road trip snacks for people to enjoy. 4.4 Receive a presentation and discuss updates regarding the Library's 2024 Summer Reading Challenge. Library staff have created the universal theme "Explore Summer "for the annual Summer Reading Challenge and can be used for several years. This makes all of the branding and reading logs more cohesive each year. Reading logs are available for children, teens, and adults from Saturday, June I through Sunday, June 28. Prizes are awarded each week for reading and other activities. Drawing for grand prizes will be available at the end of Summer Reading. 4.5 Receive a presentation and discuss staff updates regarding public relations events, programs, services, and community partnerships. Summer activities are abundant beginning with Early Literacy Story Times, Music &Movement, and Chick-fil-A Story Time returning in June. Summer Reading Family Programs in June include Travel Activities, Summer Crafts, and Build It! LEGO fun. Family Movie Matinees will be every Friday in June and two special family events will include the Escape Room and the Stuffed Animal Sleepover. Teen activities include Make Your Own Stress Balls, LEGO STEAM.- Making a Rubber Band Car, a Budding Writers Kit, and a Teen Creativebug Kit. Adults will be busy this summer with Virtual Author Talks, Spice Club Speaker Series, Crafting with Creativebug Kits, Medicare Education Seminar, and programs such Effective Water Conservation for Successful Gardening, Retro Night: The 70s, and an Artificial Intelligence Forum. 4.6 Receive a presentation and discuss updates regarding Friends of The Colony Public Library activities. Director Charters shared a handout, "What Have You Done For Me Lately? " The handout reviewed all of the services the Library and the citizens of The Colony receive as a result of the active support of Friends of The Colony Public Library (FOTCPL). The next FOTCPL meeting will be Thursday, June 13 at 6:00 P.M. in the Library Conference Room. FOTCPL is looking for a volunteer Treasurer. On Saturday, October 5, The Colony will celebrate 50 Years of The Colony and FOTCPL will be one of the sponsors of this event.
