COLONY LIBRARY BOARD MINUTES

The Regular Session of the Library Board of the City of The Colony, Texas, was called to order at 7:02
p.m. on the 22nd day of February 2024 at City Hall, 6800 Main Street, The Colony, Texas, with the
following roll call:

1.0 ROUTINE ANNOUNCEMENTS, RECOGNITIONS AND PROCLAMATIONS
Director Charters announced that The Colony Public Library received the Texas Municipal Library
Directors Association Achievement of Excellence Award for 2023. This is TCPL's fifth consecutive
year to win the award. Director Charters announced this at the City Council meeting on Tuesday,
February 201" and gave awards to several Library volunteers who have worked over 25 hours in
the last year. The Library had a total of 54 volunteers in 2023 who cumulatively worked 829 hours.
Dell Holmes was honored with the James W. Althaus Volunteer of the Year Award for more than
thirty years of service. This was preceded by a reception for the volunteers in the City Hall foyer.
Director Charters also announced that it was National Library Lovers' Month. To celebrate,
patrons were asked to write notes about why they loved their library. The Library had many
responses, including comments about their love of the Library's "amazing programs and the most
helpful staff' along with the fun that they have at the library and their love of our books.
2.0 CITIZEN INPUT
This portion of the meeting is to allow up to five (5) minutes per speaker with a maximum of
thirty (30) minutes for items not posted on the current agenda. The board may not discuss these
items, but may respond with factual data or policy information, or place the item on a future
agenda. Those wishing to speak shall submit a Request Form to the board secretary.
No report.
3.0 CONSENT AGENDA
The Consent Agenda contains items which are routine in nature and will be acted upon in one
motion. Items may be removed from this agenda for separate discussion by a board member.

3.1 Consider approval of minutes of Library Board meeting held December 7th, 2023.
The Board reviewed the minutes. Motion to approve the above consent agenda item — Gehrke;
second by Krueger; motion passed with all ayes.
4.0 REGULAR AGENDA ITEMS
4.1 Discuss and receive reports regarding the progress on Library Board Goals and Projects for 2023:
A. Continue to maintain legislative awareness of pertinent library issues.
No report.
B. Continue to assist in representing TCPL at library, school, and community activities.
Member Heermans attended the February City Council meeting and Volunteer Recognition
Reception.
C. Initiate contact and work to form partnerships in the community to introduce TCPL's services
and resources and to serve as an information source for the community.
Member Gehrke volunteered at the Friends of The Colony Public Library junior book sale.
Director Charters announced that on February 29`", the Library will host three local high
school students participating in LISD Career Out., a mentorship and community engagement
program. Students will receive a tour of the library and learn about various roles and
workings ofpublic libraries.
D. Compile evidence and anecdotal information relating to Library needs in regard to advocating
and informing stakeholders about future Library space.
Director Charters reported that remodeling is moving forward in the buildings for the future
City Hall and the Community Center. The expected date for future Library design plans is
2025.
4.2 Discuss and consider the approval of Library Board goals and projects for 2024.
The Board discussed the possibility of changing part "D " of the Library Board goals and projects.
The Board agreed that the new goal for part "D " of their goals and projects would be, "Compile
input from Board Members and survey the public about future Library space needs in support of
advocating and informing stakeholders. " Motion to approve the above consent agenda item —
Gehrke; second by Harris; motion passed with all ayes.

4.3 Receive a presentation and discuss staff updates regarding public relations events, programs,
services, and community partnerships.
Director Charters shared the upcoming TCPL events for children, youth, and adults. Early literacy
Story Times & Music and Movement are weekly activities. Discovery Play Workshop is every Friday
through March P. Chick-fil-A has reopened since their renovation and has invited TCPL to continue
Story Times there once a month. Spring Break (March 12`h through March 15"') activities will be
available all week for children and teens. United Way's Volunteer Income Tax Assistance (VITA)
will be open to the public every Tuesday through April 161h. Adult programs such as Retro Night:
The 80s, Monthly Online Book Club, Spice Club Speaker Series featuring The Tribute Honey Co.,
Medicare Education Seminar, Spice Club March Spice Kits, Adult Creativebug Kits, and a Texas
Nature and Environmental Centers program are all events to look forward to in the coming month.
TCPL is also participating in the Total Solar Eclipse Event on April 81h.
4.4 Receive a presentation and discuss updates regarding Friends of The Colony Public Library activities.
FOTCPL is having their monthly meeting on Thursday, March 14`h at 5:30 p.m. in the Library
Conference Room.
5.0 ADJOURNMENT
And with no further business to discuss the meeting was adjourned at 7:45 p.m.
