HomeMy WebLinkAbout12/13/01 Library Board MINUTES OF THE LIBRARY BOARD OF THE CITY OF THE COLONY December 13, 2001 A REGULAR SESSION of the Library Board of the City of The Colony, Texas, was called to order by Vice Chair Clark at 7:04 p.m. Present: Sandi Gehrke Place 1 Lorraine Clark Place 4 Jamie Skelton Place 5 Wayne Bullard Place 6 Joan L Sveinsson Library Director Jo Chantrill Library Secretary Absent: Diana Kruzich Place 2 (Personal) James Althaus Place 3 Arrival: 7:24 p.m. Sue Parks Place 7 (Personal) 1. Citizens input. None. 2. Consideration and approval of the minutes of the Board meeting held November 1, 2001. The minutes were approved as presented. 3. Discussion and consideration of proposed revision to Internet Access Policy. Director Sveinsson requested that this item be tabled for a future agenda Member Bullard moved to table this discussion and Member Skelton second it. The move passed unanimously. 4. Library Director's Report: a. Status report re: grant projects. No report. b. Status report re: operations. Gary Werchan has joined the staff as the second Support Services Clerk. Gary took early retirement and has since been volunteering, and serving on the Board, for the Frisco Public Library; he is also active in the Frisco Friends of the Library. Gary is entering the University of NoAh Texas in January to begin work toward his Masters degree in Library and Information Science. Circulation Clerk Cary Herzig will also begin classes in January to work toward her Masters Degree in Library and Information Science. A temporary clerk has been hired for 50 hours to help Technical Services get caught up with the cataloging backlog. Technical Services Librarian Sanders has had to devote many additional hours to troubleshooting and maintenance of the automation software. The Poetry program is being broadened into a cultural program series starting in January and will be moved to the 2nd Thursday of the month, (except for February when it will be moved to February 21st). In January, the program will be on Quilting; in February, it will be a dramatic monologue with Catherine Whiteman portraying Sojourner Truth; in March, The Colony High School Choir will perform; and in April, National Poetry Month will be celebrated with an open microphone poetry reading program. Director Sveinsson has discussed the future main Library facility, to be at the Five Star Complex, with Parks & Recreation Director Nelson. The space allotted to the Library will necessitate that the facility be two-story to provide the needed size; the space would only allow approximately 35,000 sq. ft. for a single-story structure, which would not meet the requirements for the projected build-out service population. The space available for the structure has been further impacted by the need to make the water feature larger than originally planned due to the need for additional capacity for drainage. A two-story facility will require additional engineering and features; it must be structurally able to bear the additional load that book stacks carry, as well as have an elevator and stairwells. Director Sveinsson is recommending that an experienced library building consultant be involved with throughout the entire project to ensure that the final product is well designed and constructed to meet the current and future needs of the community. She will include in her budget request for next fiscal year consulting funds to begin the planning process. c. Status report re: Friends of the Library activities. The Photos and Stories with Santa and Mrs. Claus was very successful, with an increase in the number of participants. Using the Library's digital camera and photo printer was a learning experience and ideas have been generating for improving and streamlining the process for next year's project. The book sale and the pie sale were also very successful. Sandi Gehrke is now serving as Vice-President, Ways & Means, of F.O.T.C.P.L. The next book sale will be on March 2na. d. Long range planning: No report. Director Sveinsson noted the following upcoming events: January 24th: next Library Board meeting. The TLA Conference will be held in Dallas this April. The Library will close on Thursday, April 25th for an In-Service Day during which all staff will be able to attend the Conference.
