HomeMy WebLinkAbout12/07/2000 Library MINUTES OF THE LIBRARY BOARD OF THE CITY OF THE COLONY DECEMBER 7, 2000 A REGULAR SESSION of the Library Board of the City of The Colony, Texas, was called to order by Chair Bullard at 7:33 p.m. Present: Sandi Gehrke Place 1 James Althaus Place 3 Jayme Skelton Place 5 Wayne Bullard Place 6 Sue Parks Place 7 Joan L Sveinsson Library Director Jo Chantrill Library Secretary Absent: Diane Kruzich Place 2 (Personal) Lorraine Clark Place 5 (Personal) 1. Citizens input. None. 2. Consideration and approval of the minutes of the Board meeting held October 19, 2000. The minutes were approved as presented. 3. Discussion and consideration of proposed addition to the Schedule of Charges, Appendix A of the Circulation Policy, for lost/ruined fees and processing fees for CD- Rom software. Director Sveinsson and the members of the board discussed the proposed revision to the Schedule of Charges. The staff recommended charging a restitution fee of $30.00 for a lost/ruined CD-Rom and $5.00 processing fee, which is the same fee as for the Polaroid cameras and audiocassette players. Member Althaus moved to approve the revisions; Member Skelton seconded the motion. The motion passed unanimously. 4. Library Director's Report: a. Status report re: new library facility. The Facilities Maintenance has corrected our hot water problem in the Youth Services workroom and the Children's restroom. The Director of Inspections is now requiring a written work order prior to any basic repair, general maintenance or preventative maintenance. The department will need to contract out any new or major repair work. b. Status report re: grant projects: Director Sveinsson reported that she will submit the final report to TIF before leaving on vacation; the report is due on December 20th. c. Status report re: operations: Problems with the software are still occurring. The EOSI technicians are still trying to resolve the problems. Marsha Fargusson joined the staff as the new part-time Page on November 15th, Diana Davis came on board as Adult & Outreach Services Librarian on November 27th, and Michelle Cervantes will start as Reference Librarian on January 2®. MIS Manager Camerlin is working with a consultant to implement the Library's Exchange Server, at which point ail the Library staff will have email capability. The five new computers are set up in the juvenile area but are not yet ready for use. The Library will be involved in a large number of activities on Saturday, December 9th. The Friends used book sale will be held 10 a.m. to 4 p.m. in the Multipurpose Room. Photos with Santa will be offered from 12 noon to 2 p.m. in the lobby. Storytime and Photos with Mrs. Claus will be held from 2 - 3 p.m. in the Storytime area. Youth Services Librarian Snyder and Support Services Clerk LeMaire are to be commended for their work in coordinating the Library's events with the Parks & Recreation Department staff and the Special Events Board. Board Chair Bullard will represent the Friends of the Library riding his motorcycle, decorated with holiday lights, in the City's "Parade of Lights" Christmas parade, which begins at 5:45 p.m. The City Christmas Tree Lighting will be held at 7 p.m. in front of the City Hall/Library facility. Director Sveinsson met with the consultants who are conducting the search for the new City Manager. In this meeting, Director Sveinsson stressed the fact that the Library would need more staffing in the near future and that planning for the construction of the new main library at the Community Complex should begin within five years. __ The traditional Library Christmas luncheon will be held on Monday, December 11th. Director Sveinsson will be on vacation from December 15th -26th. d. Update re: Friends of the Library activities: The Thanksgiving pie sale went very well; $555.00 has been raised so far in this project. Library Secretary Chantrill is to be praised for her initiative in seeking and obtaining information re: a grant of matching funds from Wal-Mart. She coordinated with FOTCPL President Clark to prepare and submit the application; a response to the application is expected in a couple of weeks. The next book sale will be held on Saturday, December 9th as will the "Storytime & Photos with Mrs. Claus". e. 2000-2001 budget proposal: No report. f. Long range planning: No report.
