HomeMy WebLinkAbout10/19/00 Library MINUTES OF THE LIBRARY BOARD OF THE CITY OF THE COLONY OCTOBER 19, 2000 A REGULAR SESSION of the Library Board of the City of The Colony, Texas, was called to order by Chair Bullard at 7:16 p.m. Present: Diane Kruzich Place 2 James Althaus Place 3 Lorraine Clark Place 4 Wayne Bullard Place 6 Joan L Sveinsson Library Director Jo Chantrill Library Secretary Absent: Sandi Gehrke Place 1 (Business) Jayme Skelton Place 5 (Business) Sue Parks Place 7 (Business) 1. Citizens input. None. 2. Consideration and approval of the minutes of the Board meeting held September 28, 2000. The minutes were approved as presented. 3. Discussion and consideration of proposed revision to the Circulation Policy. Director Sveinsson and the members of the board discussed the addition of a six-week loan period for CD-ROM software and special materials designated by the purchasing librarian. Director Sveinsson recommended the longer period for CD-ROM software to allow patrons adequate time to fully explore the software's features. Staff is also recommending that the Driver's Education materials have the 6-week loan period; the parent-taught Driver's Education course is six weeks long and patrons need the materials for the full length of the course. As this use is short-term, many patrons prefer to borrow the materials from the Library and, in keeping with the shared resource role of the Library, staff recommends accommodating this need. Member Clark moved to approve the revision; Member Althaus seconded the motion. The motion passed unanimously. 4. Library Director's Report: a. Status report re: new library facility.' It has been reported to Facilities Maintenance that there is still no hot water in the -- Youth Services workroom and the Children's restroom. b. Status report re: grant projects: All of the TIF Grant equipment except the scanner has been received. Director Sveinsson presented a report to the Community Development Corporation (4B) Board to report on the project status and items that the Library would like to use the balance of the grant to acquire. The CDC Board was very receptive and supportive of the Library's plans. Director Sveinsson will proceed with ordering the rest of the items. The additional modular furniture and chairs have a 90-day delivery time. The fabric for the chairs has been changed: the chair order will be submitted after the new fabric swatches have been received and a fabric selected. Six lateral file cabinets have been ordered; five have been received --the sixth is on back order. These cabinets will house the back issues of the local newspapers, allowing impro~/ed organization of and access to these materials. c. Status report re: operations: Problems with the software are still occurring. The software technicians and developers are still trying to resolve the problems. The City's MIS manager has also worked with the Library staff and the software technicians to eliminate any possible network problems. In the meantime, staff has placed a set of the Dewey Decimal guides at the Reference Desk to help the patrons locate subject materials when the catalog is offiine. -- Teen Week is the week of October 16-21; the Friends of the Library funded promotional T-shirts for the employees to wear. A drawing for a $50.00 gift certificate and movie passes will be held. Lorraine Clark and Diane Baxter will begin training as temporary circulation clerks. To date, only one application has been received for the Adult and Outreach Services Librarian position. Notices of the employment opportunity were sent to the graduate schools in Texas, to a large number of north Texas public libraries, and to the ten System offices. The position has also been posted on several Internet job lines. Reference Librarian Scott May has accepted a position with the Grapevine Public Library; the vacancy will be posted as soon as possible. Friday Nov 3rd the DentOn Public Library Board will tour the Library; Denton will also be renovating a Food Lion to use as a Library facility: Children's Book Week is the week of November 13-18th. On Tuesday, Nov. 14th Sandy Shrout will be present "Three Little Pigs with a Texas Twist" at 10:15 a.m. The City's Volunteer Dinne~ will be held on Nov. 30th. As that event will conflict with the scheduled meeting of the Library Board, the members of the Board agreed to combine the November and December meetings on Dec 7, 2000 at 7:00 p.m. d. Update re: Friends of the Library activities: The Thanksgiving pie sale is underway. On Thursday, Oct 26th at 7 p.m. the Friends will host an event for teens and adults featuring Storyteller Shelly Kneupper. The next book sale will be held on Saturday, December 9th as will the "Tea with Mrs. Claus". e. 2000-2001 budget proposal: No report. f. Long range planning: No report.
