AUGUST 24, 2000
A REGULAR SESSION of the Library Board of the City of The Colony, Texas, was called
to order by Vice Chair Parks at 7:08 p.m.

1. Citizens input.
None.
2. Consideration and approval of the minutes of the Board meeting held July 27, 2000.
The minutes were approved as presented.
3. Consideration of approval of revision of Conference Room Policy.
Director Sveinsson and the members of the Board discussed the proposed revisio~ to
the Conference Room Policy. Member Clark moved to approve the revisions; Member
Skelton seconded the motion. The motion passed unanimously.
4. Library Director's Report:
a. Status report re: new library facility.
The lights in the story-time area and Circulation are now all working. Facilities
Maintenance staff has determined that only one side of the 50-ton air conditioner unit
that cools most of the public area has been operating; a reset button was located that
restarted the other side of the unit.
b. Status report re: grant projects:
Director Sveinsson has not received a decision from the TIF Board yet regarding the
Grant Adjustment Request to allow the purchase of additional workstations and another
network printer.
Furnishings for the additional Youth workstations would be purchased from the
remaining allocation from 4B funds.
c. Status report re: operations:
A problem with the circulation software occurred; EOSI recommended installing
version 3.1 to correct the problem. Version 3.1 did not correct the problem and oth;:
problems have been revealed. Staff is working with the software technicians and
developers to resolve the problems. Consequently, both the circulation system and
catalog system have had to be taken offline periodically. --
Circulation Clerk Her-zig has been working half days due to her husband's medical
situation, which will soon deplete her accumulated leave time; Circulation Supervisor
Collins is working with Human Resources Director Burkett to secure Sick Leave Pool
approval to cover the balance of the time. Circulation will be running short-staffed as
temporary staff is in limited availability.
"Walker, Texas Ranger" filmed a scene at the Library on Monday, July 31st, an exciting
event that brought in $500 to be used for children's programs. The episode, entitled
"Deadly Situation" is to air this fall. Member Kruzich, Technical Services Librarian
Sanders, and City Manager's Administrative Assistant Baxter served as "extras" in the
scene. The production crew enjoyed the use of the Library's resources during their free
time. Support Services Clerk LeMaire has provided an album of photos from the event.
d. Update re: Friends of the Library activities:
The next book sale is on Sept 9th , 10:00 am - 4:00 p.m.; set up will be at 4:00 p.m.
On Saturday, September 23rd the FOTCPL will be hosting an "All the pancakes you can
eat" fund-raiser at McDonald's from 7 to 10 a.m. Tickets will be sold by the Friends at
$2 each; the Friends will pay McDonald's $1 for each ticket turned in. They hope to
make it an annual event to coincide with the Barbeque Cook-Off that will be held later
that day at Hidden Cove Park.
On October 26th, FOTCPL will be hosting a StorytelledMembership fun night for adults --
and teens. The event will start at 7 p.m. Shelly Kneupper will be telling "Texas Ghost
Stories".
The annual Thanksgiving Pie Sale will be held this year after all. The Library staff,
Board, and volunteers will bake a combined total of 100 pecan and pumpkin pies.
The next book sale will be held on Saturday, December 9th in conjunction with the Tea
with Mrs. Claus.
e. 2000-2001 budget proposal:
Enhancements requested by the department are, in priority order, the addition of an
Adult and Outreach Services Librarian, upgrading the current Support Services Clerk
position from 19 hours/week to 25 hours/week, adding a 19 hours/week part-time
Support Services Clerk position, and a 19 hours/week Circulation Clerk position.
Budget work sessions are still in progress.
f. Long range planning: No report.
The next meeting will be held on September 28, 2000.
