BOARD MEETING MINUTES

The Regular Session of the Library Board of the City of The Colony, Texas, was called to order at
7:06 p.m. on the 25th day of May 2017, at The Colony Public
Library, 6800 Main Street, The
Colony, Texas, with the following roll call:

With four board members present a quorum was established and the following items were
addressed:
1 ROUTINE ANNOUNCEMENTS, RECOGNITIONS AND PROCLAMATIONS
2 CITIZEN INPUT
This portion of the meeting is to allow up to five (5) minutes per speaker with a maximum of thirty
(30) minutes for items not posted on the current agenda. The board may not discuss these items,
- - - - but may respond with factual data or policy information, or place the item on a future agenda.
Those wishing to speak shall submit a Request Form to the board secretary.
None.
3 CONSENTAGENDA
The Consent Agenda contains items which are routine in nature and will be acted upon in one
motion. Items may be removed from this agenda for separate discussion by a board member.
3.1 Consider approval of minutes of Library Board meeting held April 27, 2017
Motion to approve the above consent agenda item —Hebb; second by Kelly; motion
passed with all ayes
4 REGULAR AGENDA ITEMS
4.1 Discussion and reports regarding progress on the following Library Board goals and
projects for 2017:
A. Continue to maintain legislative awareness of pertinent library issues.
Board members were encouraged to continue to check their city email accounts
frequently for information forwarded by staff re: critical legislative issues on both the
federal and state level. Member Kelly reported that she has been further researching

the complexities of the legislative process.
B. Continue to assist in representing TCPI, at library, school, and community _
activities
Member Kelly assisted at the Stewart's Creek Elementary School carnival.
C. Initiate contact and work with the business community to introduce TCPL's
services and resources
No report.
4.2 Review, discuss, and consider approval for recommendation of the schedule of fees
for FY 17-18
Motion to approve the proposed fee schedule for recommendation to City
management to submit to the City Council for approval for FY 17-18- Krueger;
second by Kelly; motion passed with all ayes.
4.3 Receive and discuss update regarding Friends of the Library activities:
• FOTCPL PRESENTS! Annual Fun Night & Membership Meeting featuring
guest speaker author James William Peercy, Saturday, April 29: Eight FOTCPL
members and author James William Peercy and his wife Claudette attended this
event. Participants reported that the author is an excellent speaker. _
• FOTCPL "Bag of Books" Sale: This sale will begin June 1 and features the new
book bags.
• FOTCPL PRESENTS! Family Night featuring songwriter, author and story teller
Willy Welch, Thursday, June 15 at 7 p.m.: All ages are invited to attend this free
family event. Board members Krueger and Kelly plan to attend and volunteered
to assist with the publicity survey at the end of the event.
4.4 Receive and discuss staff update regarding public relations events, programs, and
community partnerships:
• Summer Reading Club Registration & Book Logging: Registration is open online
and in the Library. As of 3:45 p.m. today, registration total is 95. Book logging
begins on June 6 and ends on July 28.
• Bridges Cemetery Open House: Members of The Colony Public Library Local
History Committee will open Bridges Cemetery to the public and answer
questions about The Colony's history from 10 a.m.-noon.
• National Audiobook Month: Throughout the month of June, each time a customer
checks out audiobooks, the customer qualifies to register for a drawing for a free
MP3 player.
• Summer Reading Club Programs: Summer Reading Club Programs are for_ --
children entering 1 st — 5th grades. Due to limited space, attendance is limited
only to those grades. All programs are on Wednesdays at 2 p.m.:

• Fired Up About Reading: The Colony Fire Department's firefighters will read
stories to children in grades K — 5 on Thursdays at 2 p.m. at the Library.
Participants may enter to win a ride on a fire truck to the first day of school.
• Summer Coding Camp: Code with Ozobots! Summer Coding Camp is for
children in grades 3-5 and will be held from 2-4 p.m. NOTE: Coding Camp
Registration is Full! To be added to the waiting list, email
reference ,thecolonypl.org or call 972-625-1900 ext. 3. Wait list registrants will
be contacted if openings occur.
• Teen Art Contest: Tweens and teens going into grades 6th through 12th are
invited to participate on Saturday, June 17, 1-3 to put their artistic skills to the
test! Art supplies will be provided. At the end of the program, the resulting
artwork will be posted in the library for people to vote for throughout the
summer. The winner will be announced at the July 29 Teen Pizza Party.
4.5 Receive and discuss staff report regarding RFID conversion project
To date, 32.32% of the collection has been tagged, 23,666 of the 73,206 physical
items in the collection. Director Sveinsson gave a brief description of the process.
4.6 Receive and discuss staff report regarding TSLAC Libraries and Literacy Grant
Texas State Library and Archives Commission and the Texas Workforce
Commission established a joint project with the goal to expand library engagement
with local Adult Education and Literacy providers. Parts of this project include:
• Scholarship that Kate Margolis received to attend the TALAE (Texas Association
for Literacy and Adult Education) conference in February.
• TSLAC Libraries & Literacy Grant: Kate's grant application was successful.
The grant used to acquire 7 laptop computers: 5 Lenovo IdeaPads (PCs), 2
MacBook Airs, and Microsoft Office licenses for all 7 computers. TCPL's
purpose for this equipment it to further TCPL's ability to serve our community
with digital literacy.
• Full-day workshop on libraries and adult literacy that Kate attended last week in
Melissa.
4.7 Review list of June library programs
The Board reviewed the list.
