HomeMy WebLinkAbout05/03/2017 TECHMINUTES OF THE REGULAR MEETING OF THE TECHNOLOGIES BOARD HELD ON May 3, 2017 The Regular Session of the TECHNOLOGIES BOARD of The Colony, Texas was called to order at 6.32pm on the 3rd of MAY, 2017 at CITY HALL, in the COUNCIL CHAMBERS, City Hall, 6800 MAIN STREET, THE COLONNY, TEXAS, with the following roll call• Bill Swink Present Stephen Hoffman Present Joye Grube Present David Veneable Absent Juan Martinez Present Roger Morehouse Absent Council Liaison Mayor Joe McCourry Present Kirk Mikulec Absent 1.0 1 ROUTINE ANNOUNCEMENTS 1.1 Call Meeting to Order 6 32pm 1.2 General Announcements: none 2.0 , DISPOSITION OF MINUTES 2.1 Acceptance of Technologies Board Minutes for a meeting held on January 4, 2017. '.Motion to approve - Stephen Hoffman; second by - Bill Swink; motion passed with all ayes 3.0 1 CITIZEN INPUT none 4.0 AGENDA ITEMS 4.1 Provide an update on the new City website and video arraignment projects. Chris Vasquez IT Director updates the board on the City website project In February IT met with the Civic Plus design team to provide design ideas for the new City website Currently the launch date is scheduled for 11-9-2017 Chris Vasquez met with Assistant Chief Chris Chandler and Jail Supervisor Kevin Frawley about the future of video arraignment in the jail to aid in the Judge's access to remotely arraign inmates In discussing the procedures currently in place it has become evident that the video arraignment is not the challenge it is obtaining signatures Chris has been talking with Hood County about the system they use that allows for digital signatures and is going to speak with the Judge about testing the software here to see if it would meet all the necessary requirements. 4.2 Discussion on future technology plans to include Verizon private network, the City's primary internet connection, and LISD fiber. A concern about not being able to remotely access software has been brought to the attention of the IT department by staff that work out in the field IT is looking into a service provided by Verizon that would allow easy access to login to the computer system while staff is in the field. It is Verizon Private Network with an aircard IT is also looking to streamline and boost the cities current internet connection, as well as shop for better pricing Several remote city building sites have a poor internet connection. LISD has dark fiber That is fiber that is not being used The City is looking into a possible agreement with LISD to use their fiber to bring a better connection to several city locations that currently have poor internet connection. PARD, Fire Station 1 and 3, Fivestar Park and Office Creek. This possible agreement may take some time as it has to be approved by the school board, and the soonest meeting will be in June 2017 Crown Castle also has fiber running near some of these remote locations so that would be another possibility for accessing fiber for better connectivity. 4.3 Discuss potential projects submitted to the CIP budget for next fiscal year. Some of the potential projects that IT is looking into are an update to the current phone system Server replacements at the Police Department and Parks and Rec Department Currently the city has 3 active directory forests, and IT would like to hire a professional to streamline these systems They are also looking at a Laserfiche upgrade. 4.4 Board to provide direction to staff regarding future agenda items.
