CITY OF THE COLONY
LIBRARY BOARD MEETING MINUTES
January 26, 2017
The Regular Session of the Library Board of the City of The Colony, Texas, was called to
order at 7:02 p.m. on the 26th day of January 2017, at The Colony Public Library, 6800
Main Street, The Colony, Texas, with the following roll call:

With six board members present a quorum was established and the following items were
addressed:
1.0 ROUTINE ANNOUNCEMENTS, RECOGNITIONS AND
PROCLAMATIONS:
Call to order
Citizen Input- Boy Scout Sam Hooper attended the meeting, accompanied by his
father, John Hooper. Sam is currently seeking an Eagle project.
2.0 1 CONSENT AGENDA
Consider approval of minutes of Library Board meeting held November 3, 2016
Motion to approve the above consent agenda item- Gehrke; second by Hebb; motion
passed with all ayes except for Member Heermans abstaining.

3.1 Presentation of returning Board member Maggie Heermans
The Board members welcomed returning member Maggie Heermans.
3.2 Review proposed Library Board meeting schedule for 2017, set meeting dates, and
cancel February 23rd meeting due to The Colony Annual Appreciation Gala which
is being held that evening

The Board normally meets on the fourth Thursday of each month. Director Sveinsson
presented the proposed schedule which includes adjustments due to Board banquet and
holidays:

3.3 Receive presentation regarding eServices processes and tools (Roseberry)
eServices Librarian Noelle Roseberry provided an in-depth description of her role and
duties, which include maintaining the library's webpage with updates of events, news,
and graphics on a regular basis, managing the public access computer network time and
print management system CASSIS, teaching basic computer classes for patrons, and
tracking statistics of electronic services including website visits, public access
computers, public fax usage, and the early literacy stations. Noelle works closely with
the staff of the IT department on updating and implementing new software on the public
computers.
3.4 Discussion and final reports regarding progress of Library Board goals and
projects for 2016:
A. Continue to maintain legislative awareness of pertinent library issues
No report.
B. Continue to assist in representing TCPL at library, school, and community
activities
Members Hebb and Gehrke assisted Director Sveinsson with the TCPL booth at the
Salute to American Heroes event. Member Gehrke also assisted with the Photos
with Santa event. Members Hebb and Gehrke attended the City's 401h Anniversary
reception.
C. Initiate contact and work with the business community to introduce TCPL's
services and resources
Member Ilebb attended the open house events for the Dental Depot and The Hudson
apartments.
3.5 Discussion and consideration of Library Board goals and projects for 2017
The Board discussed setting the following goals:
• Continue to maintain legislative awareness of pertinent library issues
• Continue to assist in representing TCPL at library, school, and community
activities
• Initiate contact and work with the business community to introduce TCPL's
services and resources
Motion to approve the above goals- Hebb; second by Krueger; motion passed with
all ayes

3.6 Receive and discuss staff update regarding planning for new City Hall / Library
building
Director Sveinsson reported on the Building committee meeting held on January 23,
--- 2017. To date, all cost estimates (City Hall/Library; City Hall only) came in way too
high. The City Manager is meeting with some developers to look at options for a
partnership project.
3.7 Receive and discuss update regarding Friends of the Library activities:
FOTCPL PRESENTS! Photos with Santa: was a smashing success with a record
turnout of 225 people and 177 photos taken.
Proposed partnership with Lakeside Community Theatre: FOTCPL is partnering
with Lakeside Community Theatre to offer Friends Night at the Theatre on opening
night, February 10; this event offers special ticket pricing for FOTCPL members, group
seating, and a free cookie at intermission. Board & FOTCPL member Judy Hebb
proposed this partnership to the theatre and is handling reservations.
3.8 Receive and discuss staff update re: Texas Association for Literacy and Adult
Education (TALAE) Annual Conference scholarship
Reference Services Librarian Kate Margolis has been granted a scholarship to attend
the Texas Association for Literacy and Adult Education (TALAE) Annual Conference
in San Antonio, Feb 2-4, 2017. Funds will support conference registration and travel
costs up to $1000. Conference content is relevant for library staff engaging or planning
to engage in Adult Education and Literacy (AEL). Kate is planning ways TCPL can
define and implement AEL goals in 2017.
3.9 Receive and discuss staff update regarding public relations events, programs, and
community partnerships:
TCPL booth at Salute to American Heroes: TCPI. staff, Library Board members, and
FOTCPI. members made 248 contacts, issued five library cards to residents, shared
information about TCPL resources and services with booth visitors, and received two
FOTCPI, membership renewals.
Frozen Sing -Along Extravaganza: There were 44 attendees at this event which was
held on Sunday, December 11 from 2-4:15 p.m.
Polar Express Family Pajama Story Time: This event drew in thirty-three attendees
who enjoyed the activities presented by Circulation Clerk Julie Conlee on December 14.
B. B. Owen Elementary School Curriculum Night: Circulation Clerk Tammy
Beauchamp and eServices Librarian Noelle Roseberry made 112 contacts and registered
13 new cardholders at the January 19 B.B. Owen Elementary School Family Curriculum
Night.
Pok6mon League: This new series is a sanctioned Pokemon League monthly event.
There were 18 participants at the first event. Stewart's Creek Elementary is starting a
Pokemon club; Youth Services Library Assistant Sana Sulaiman and our adult Pokemon

League volunteer Kimber Mowery will attend the club's first meeting next Tuesday. The
students are reported to be very excited about our League events.
Start the New Year Right: Create Your Own Vision Board: This event for teens and
adults will be held Saturday, January 28 from 10 a.m. to noon. Participants will be
encouraged to take a step toward realizing their New Year's resolutions by creating a
vision board. All supplies will be provided.
AARP Tax Help: From February 1 through April 12, TCPL will host the AARP
Foundation Tax Help service which helps people prepare and submit their Federal tax
returns on Wednesday evenings from 4-8 p.m.
Why Your Story Matters (Local History Committee event): Journalist and memoir
writer Thatcher Freund will talk about the importance of stories in our lives, both to
ourselves and to the culture we live in, and why it matters so much that we preserve
them. This free program, presented by The Colony Public Library's Local History
Committee in celebration of the Library's 35th anniversary, begins at 1 p.m.
Refreshments will be provided.
Scrapbooking Class: This come and go class for adults will be held on Friday,
February 10 from 10 a.m. to noon. All supplies will be provided.
Wii Gaming Tournament: This event will be held on Saturday, February 11, from 1-
4:30 p.m. Participants must bring their own Nintendo 3DS and a copy of either
Pokemon .Sun or Poke'mon Moon to fight in one of three brackets: Juniors (ages 10 and
under), Seniors (ages 11-15), and Masters (16-18). Tournament entry fee is $3; snacks _
will be available for purchase. Prizes will be awarded to the first place winners! This
event is sponsored by Friends of The Colony Public Library and hosted by TCPL's Teen
Anime Club; proceeds benefit TCPL's youth programs.
Continuing Education Class: Conversational Sign Language: Part III (Baby Sign
Language) will be offered on Thursday, February 16 in the Library Multipurpose Room
from 7-9 p.m. Participants can earn 2 hours CE credit; required pre -registration ($5 per
person) will be refunded upon course completion. Class size is limited, register early!
Computer Basics Class: This class, offered on Friday, February 17 at 10 a.m. is
designed to familiarize participants with basic computer technology, hardware, software,
input (mouse and keyboard) and output (printer and external storage) devices. This class
is aimed at individuals with little to no experience using computers. Classes are small to
allow individualized attention and space is limited. Register is required.
Basic Computer Class: Internet & Security: This class will offered on Friday,
February 17 at 2 p.m. Participants will learn how to get more out of the World Wide
Web and how to keep their privacy and their computer protected. Classes are small for
individualized attention and space is limited. Register is required.
March Spring Break Coding Camp- Code with Ozobots! Spring Break Coding
Camp is for children in grades 3-5 and will be held daily Tuesday, March 14 through
Friday, March 17 from 2-4 p.m. Pre -registration is required.
3.10 Review list of February library programs
The Board reviewed the list.
