LIBRARY BOARD MEETING MINUTES
September 22, 2016
The Regular Session of the Library Board of the City of The Colony, Texas, was called to
order at 7:03 p.m. on the 22nd day of September 2016, at The Colony Public Library, 6800
Main Street, The Colony, Texas, with the following roll call:

With four board members present a quorum was established and the following items were
addressed:

Consider approval of minutes of Library Board meeting held August 25, 2016
Motion to approve the above consent agenda item - Krueger; second by Gehrke;
motion passed with all ayes
3.0� GULAR AGENDA ITEMS
3.1 Tour of various areas of the Library to gain greater understanding of current
services, improvements, planned changes, and needs
No tour this month.
3.2 Discussion and reports regarding progress of Library Board goals and projects for
2016:
A. Continue to maintain legislative awareness of pertinent library issues
No report.

B. Continue to assist in representing TCPL at library, school, and community
activities
Member Hebb assisted with the FOTCPL Presents! Meet the Authors event.
C. Initiate contact and work with the business community to introduce TCPL's
services and resources
No report.
3.3 Receive and discuss staff update regarding Friends of the Library activities:
FOTCPL PRESENTS! Meet the Authors
Over forty people visited with the twenty-two local authors and illustrators participating
in this year's event on Saturday, September 17. They enjoyed discussing the authors'
writing process and seeing examples of authors' new works. Signed copies were
available for purchase. FOTCPI, funded refreshments for the authors and illustrators.
3.4 Receive and discuss staff update regarding TCPL's FY 2016-17 budget, projects,
and goals.
Director Sveinsson presented an overview of the Library's FY 2016-17 projects and
goals, including those funded in the FY 2016-17 budget:
Collection: Implement phase II of CollectionHQ process: use CHQ tools to set targets
for removing items that are worn, outdated, and no longer circulating; and to enhance --
collection management and development.
Technology: Develop technology plan; implement EDGE plan; explore options to offer
wireless printing; expand collection of peripheral devices for in-house use by library
customers; implement phase I of RFID conversion.
Services: Implement Books by Mail service for home -bound customers; evaluate
feasibility of implementing infant/caregiver lapsit story time; expand resources for
STEAM programming.
Local I iistory Committee: Start next phase of Bridges Cemetery Master Plan
(fundraising for headstone restoration; raising community awareness through
programming); complete genealogical backgrounds of those buried in Bridges
Cemetery; present a workshop about the Library's Ancestry.com service.
Facility: Participate in development of plans for the new City Hall/Library facility;
implement plan for improvement in use of collection space.
Communications: Increase promotion to raise awareness of Library services, resources,
and materials. Continue to improve web and social media presence.

3.5 Receive and discuss staff update regarding planning for a new City Hall / Library
building.
Director Sveinsson gave a brief summary of the history of the project and the
preliminary planning schedule and tasks for the planning committee as outlined at the
initial August 29, 2016 meeting. The committee is comprised of City Council members,
appointed citizens, and staff. The next committee meeting, which is to be a discussion
of space needs, has been rescheduled from September 26 to October 3; as Director
Sveinsson will be out of town, she asked for representation from the Board at the
October 3 meeting. Director Sveinsson will provide City Manager Powell with
information regarding the Library's space needs prior to the meeting. A follow-up
meeting regarding space needs will be held on October 11 if needed. A meeting on
October 24 is planned to discuss budget and financing. A contract project manager will
be hired by the city manager. On December 5, the committee will review the rest of the
project. Arrangements will be made for committee members to tour other city halls,
which will include those that are combined city hall / library facilities. It has been
suggested that the planned life of the building be fifty years.
3.6 Receive and discuss staff update regarding public relations events, programs, and
community partnerships:
Minecraft Party: The third annual MineCraft Party was held on Saturday, September
10 from 2-4 p.m. Sixty-one participants came to this event and celebrated everything
MineCraft with crafts and games.
Pokemon Go: Battle Royale: There were eleven participants at TCPL's Pokemon
GOO Gym for an epic game battle on Wednesday, September 7, from 6:30-7:30 p.m.
When the hour was up, the Gym Leader was awarded the Codex Badge.
STEAManiacs: This come -and -go program was held every Wednesday in September
from 4-6 p.m. and offered elementary school-age children in grades K-5 the opportunity
to explore a little bit about all things STEAM—science, technology, engineering, arts,
and math. As the program series only drew two participants during the month, this
program will be discontinued until further notice.
Continuing Education Class: This class for daycare and preschool teachers was held
Thursday, September 15, at 7 p.m. Instructor Amy Anderson, Speech -Language
Pathologist, from North Central Texas ECI taught. Baby -Early Childhood Sign
Language: Intermediate Level. The twenty participants who completed the class earned
2.0 hours of CE credit.
Project Suits for Success collection site (MetroRelief Resource Center & The
Colony Chamber of Commerce): TCPL is serving as a collection site for this drive to
collect donated business clothing to help job applicants who need appropriate clothing
for job interviews.
Registration for Back to Hogwarts Bash: Online registration began Tuesday,
September 20 at thecolonypl.orsz. All ninety tickets were gone in less than eight hours.
Back to Hogwarts Bash participants are invited to experience the world of Harry Potter
on Saturday, October 15, from 6-9 p.m. They will be sorted into Houses, take Hogwarts
classes and participate in a Barry Potter trivia quiz. Costumes are encouraged.

The Colony Chamber of Commerce Job Fair TCPL booth: TCPL staffed a booth at
the Job Fair to inform participants and employers of the library's workforce
development resources. Staff made sixty-eight contacts and issued twelve library cards.
Local History Committee's Twilight at Bridges Cemetery: This event is for all ages
and will be held on Saturday, October 1 from 5 pm to sunset. Participants can explore
Bridges Cemetery at sunset and enjoy fall refreshments,
Teen Gaming Tournament (sponsored by FOTCPL): On Saturday, October 1,
participants will compete for first place in an action -packed tournament of Super Smash
Bros.on the Wii U Gaming System. This event is hosted by TCPL's Anime Club and
sponsored by FOTCPL. Doors will open at 6 p.m. for registration. There is a $3 cash
entry fee.
Computer Classes: The September classes include Beginning Word 2010 on Friday
September 23 from 2-4 p.m. and Basic Computer Class on Saturday, September 24 from
10 a.m. to noon. Registration is limited; register at the Reference desk.
Booktoberfest (TCPL, Metro Relief, Love 121, Hope Community Fellowship, Peter
Piper Pizza): This ocean -themed family reading SIiELLebration will be jam-packed
with fun. TCPL and Metro Relief DFW have partnered with other local businesses and
groups for this event. It will be held on Sunday, October 25 from 2-4 p.m. The festival
will include ocean story time, face painting, ocean -themed crafts, carnival games, a
photo booth, and door prizes.
3.7 Review list of October library programs
The Board reviewed the list.
