HomeMy WebLinkAbout07/28/2016 LIBJuly 28, 2016 CITY OF THE COLONY LIBRARY BOARD MEETING MINUTES July 28, 2016 The Regular Session of the Library Board of the City of The Colony, Texas, was called to order at 7:36 p.m. on the 28th day of July 2016, at The Colony Public Library, 6800 Main Street, The Colony, Texas, with the following roll call: Sandi Gehrke Marlene Martin, Chair Judith Iiebb, Vice -Chair Joanna Krueger Jade Kelly Yasmin Agudelo Brian Wade Joan L. In accordance with Chapter 2, Article 1I, Division 1, Sec. 2-206 of the Code of Ordinances, Member Agudelo has agreed to continue to serve until a replacement has been appointed. With four board members present a quorum was established and the following items were addressed: 1.0 ROUTINE ANNOUNCEMENTS, RECOGNITIONS AND PROCLAMATIONS: Call to order Citizen Input - None 2.0 1 CONSENT AGENDA Consider approval of minutes of Library Board meeting held June 23, 2016 Motion to approve the above consent agenda item - Martin; second by Gehrke; motion passed with all ayes 3.0 REGULAR AGENDA ITEMS 3.1 Introduction of new Youth Services Librarian Youth Services Librarian Anna Darst was introduced; she joined the staff on June 28th. 3.2 Election of presiding officers for new term (July 2016 -June 2017) Gehrke nominated Martin for Chair and Hebb for Vice -Chair; second by Agudelo; passed with all ayes 1 July 28, 2016 3.3 Tour of various areas of the Library to gain greater understanding of current services, improvements, planned changes, and needs The Board members toured the Technical Services workroom where Technical Services Librarian Megan Charters gave an in-depth presentation of the processes involved in receiving, cataloging, and preparing materials for inclusion in the Library's various collections. 3.4 Discussion and reports regarding progress of Library Board goals and projects for 2016: A. Continue to maintain legislative awareness of pertinent library issues No report B. Continue to assist in representing TCPL at library, school, and community activities Member Gehrke attended the ribbon cutting ceremony for the Little Free Library at Ridgepointe Park. Members Gehrke, Agudelo, and Hebb sold tickets in the Library for the Jazzed About the Library Benefit 2016. Member Agudelo will be mentoring a Girl Scout who wants TCPL to be involved with her Gold Award. C. Initiate contact and work with the business community to introduce TCPL's services and resources Member Martin attended the ribbon cutting ceremony for the Marriot Courtyard where she made contact with a number of members who expressed interest in providing sponsorship or donations for Jazzed About The Library Benefit 2016. She stated that she plans to continue to attend Chamber events to make additional contacts to benefit the Library. 3.5 Discussion of Library Board meeting schedule The Board discussed the current meeting schedule and decided to leave it as is. Members were asked to please RSVP when they receive the agenda so that Director Sveinsson will know if a quorum will be met for the meeting. If a quorum is not met, the Board members will be notified before the scheduled time of the meeting. 3.6 Receive and discuss staff update regarding Friends of the Library activities: "Bag of Books" Sale!: Twenty-four "Bag of Books" were sold. Jazzed About The Library Benefit 2016: This benefit will be held on August 13 at the Cascades Event Center; the theme is 40s jazz. The City has provided requested funding in support of the event. Advance tickets are available for purchase at discounted rates online at thecolonypl.org and on the Friends Facebook. The advertising campaign includes Dallas Observer (over 1 million readers) and Family eGuide. In -library ticket sale dates/times are planned to correspond with TCPL events: Friday, August 5, 10 a.m.-noon; and Saturday, August 6, 12:30-3:30 p.m. FOTCPL officers are seeking corporate and business sponsors for 2016, and at the same time, they are working on - exciting plans for 2017. Jazzed tickets include all the fun activities and food offered at the event; water & tea will be provided. Items available for purchase will include cash 2 July 28, 2016 bar beverages, authors' books, and silent auction items. Entertainment and activities include dancing to the music of The Texas Gypsies, a "Retro -Electric" award-winning band comprised of Grammy winners and musicians known for their unique take on classic jazz and swing;, strolling Magician Brett Roberts who is a long-time presenter at the Library and whose shows delight both children and adults alike; great builds at the Bricks 4 Kidz activity booth; a photo booth and props; and the opportunity to meet local authors. The Silent Auction will include gift baskets from Raising Cane's and the Texas Legends; a certificate for weekday round of golf for two at The Tribute Golf Links; autographed celebrity items, including a Dallas Cowboys Legends helmet. Dining will include food from local restaurants and the In -N -Out Burger cookout truck. Sponsors include Cascades Event Center, City of The Colony, The Colony Convention And Visitors Bureau, Rotolos, Texas Legends, Raising Cane's, The Tribute Golf Links & Guest House, and Bricks 4 Kidz. Little Free Libraries: The celebration for the Diana Kruzich Memorial Little Free Libraries of The Colony at Ridgepointe Park was held successfully on July 10 after being rained out on June 13. July 21 FOTCPL PRESENTS! Family Night: Seventy-five children and parents enjoyed the antics of magician James Wand. It was an excellent program with high energy and the participants loved it! Members of the audience were surveyed after the event to determine where they had seen the event publicized; the highest response was for the summer programs list picked up at the Library, followed by signs in the Library, posting on the Library website, and the Library calendar link from the City website. 3.7 Receive and discuss staff update regarding public relations events and programs: LISD Back to School Fair: The Back to School Fair will be held July 30 from 8 a.m. -2 p.m. at Lewisville High School. Member Gehrke and Director Sveinsson will represent TCPL and will issue Library cards and distribute information about the Library's services, resources and fall programs. Over 3,000 students are expected to participate in this event. The Colony Back 2 School Bash: This event will take place at the Recreation Center on August 9. Members Gehrke and Martin volunteered to stuff folders with information about services, resources, and fall programs for distribution to the 500 participating students. TCPL will have a booth at which staff and volunteers will issue library cards and distribute the folders. Member Gehrke volunteered to help set up and work the booth. Summer Reading Club Programs: The Wednesday Summer Reading Programs drew thirty-four children for Improv with Move Your Tale on June 29; eighty-six children for Bubble Science with the Bubble Lady on July13; twenty-eight children for Lacy Elite Taekwondo Studio presentation on July 20; and thirty-six children for Ventriloquist Nancy Burks Worcester. Fired Up About Reading: A total of 167 participants attended Fired Up about Reading: an average twenty-one per event. At the final session, the drawing was held for the ride to school on the fire truck. 1$` day of school winner: Brayden Childers of 3 July 28, 2016 Camey Elementary; 2nd day of school winner: Morgan Charles of Ethridge Elementary; 3rd day of school winner: Kensho Takayanagi of Prestwick Academy. Robotics Camp: The July 15 session had ten participants and the July 22 session had seven participants. Fresh Start to a Healthier You Series: This series drew an enthusiastic group of participants. It was scheduled to run for four weeks but was wrapped up in three weeks as the presenter found she would not be able to be present for the fourth week. Teen Pizza Party: This event will be held Friday, August 5 from 12:30-2:30 pm. The teen art contest winner will be announced at this event. Pizza and drinks will be served and games will be available to play. The event sponsor, Palio's Pizza Cafe of The Colony, is providing the pizza. Summer Library Olympics: This end -of -summer event will be held Saturday, August 6 from 2-4 pm. It is open to ages up to 12 years old. Participants will play games and have the opportunity to win cool prizes in the drawings.
