Sveinsson Jan Williams Place I Present Place 2 Present Place 3 Present Place 4 Absent Place 5 Absent Place 6 Present Place 7 Vacant Council Liaison Present Staff Liaison Present Recording Secretary Present And with four board members present a quorum was established and the following items were addressed: 1.0 ROUTINE ANNOUNCEMENTS, RECOGNITIONS AND PROCLAMATIONS: Call to order Citizen Input 2-1 1 CONSENT AGENDA Consider approval of minutes of Library Board meeting held December 4, 2014 Motion to approve the above consent agenda item Martin; second by Kelly; motion passed with all ayes. 3.0 1 REGULAR AGENDA ITEMS 3.1 Announcement of Place 7 vacancy It was announced that Margaret Heermans has resigned from the board due to accepting full-time employment in another City department. 3.2 Review proposed Library Board meeting schedule for 2015 and set meeting dates The Board normally meets on the fourth Thursday of each month. Director Sveinsson presented the proposed schedule which includes adjustments due to holidays: February 26 July 23 March 26 August 27 April 23 September 24 May 28 October 22 June 25 December 3 (combined Nov/Dee meeting) Motion to approve the above schedule Gehrke; second by Martin; motion passed with a// ayes, 1 January 22, 2015 3.3 Discussion and consideration of a proposed revision of the "Conduct in the Library" policy to remove the restriction on food and beverages at the public computers Motion to approve the revision Martin; second by Kelly; motion passed with all ayes. 3.4 Discussion and reports regarding progress of Library Board goals and projects for 2014: A. Increase interaction with LISD schools in The Colony to inform school personnel, parents and students of TCPL's resources and services No report. B. Continue Board presence at TCPL events and participation in TCPL public relations activities Member Gehrke assisted with the "Photos with Santa" event; Member Rushing attended it and reported that it was very well received C. Work with new businesses to have TCPL presence at grand openings No report. A Increase library legislative awareness The Legislature in now in session. E. Library visits to gain insights for future planning for TCPL No report. F. Finalize development of a Speakers' Bureau to provide trained speakers to local venues to provide information about TCPL1s resources, services, and future development No report. 3.5 Discussion and consideration of Library Board goals and projects for 2015 This item was tabled to the February meeting. 3.6 Receive and discuss staff update regarding Friends of the Library activities: FOTCPL PRESENTS! Photos with Santa (12/6, noon — 2pm}; fund-raising plans FOTCPL PRE,.`ENTY Photos with Santa brought 189 people to the Library on Saturday, December 6, from noon -2 p.m.; 165 photos were taken in a little over two hours. Holiday music was provided by the Fiddle Rascals. Proceeds from this event benefit the Library's youth programs. Progress is being made on the Jackson -Shaw fundraising challenge to raise a total of $13,000 needed to replace TCPL( 's early literacy computers with updated, fully -supported equipment; a holiday themed flyer was sent out via social media and email and has since been followed up with a new flyer. To date, $3,544 of the $6,500 has been raised. FOTCPL has a gift certificate for $1,000 credit with Cascades Event Center and will be exploring ways to use it for this campaign. 2 January 22, 2015 3.7 Receive and discuss staff report of TPCL',s 2014 accomplishments The Board received a staff report of TCPL's 2014 accomplishments which included grants and major donations (total $13,766.50), County funding ($39,750), improvements to the public access network and related equipment, improvement to the audiobook collections, expansion of the following collections: digital resources collection (including greatly expanding the Zinio digital magazine collection at reduced cost through consortium participation), Early Literacy special collections (Story Time Backpacks and Story Time Kits), and the Blu-ray collection. Program expansions included The Colony Local History Committee events (two additional events at Bridges Cemetery, Millions of Years in North Texas program, and co -hosted History Tour with Friends of the Library), filming of three new oral histories for the Local History Collection, adding a number of Diagon Alley activities to the Back to I -log -warts Bash, and increasing the number of authors participating in FOTCPI. PRESENTS! Meet the Authors and Illustrators. TCPL implemented a paperless library card application process, the color printing option on the public access network, the soft launch of the 3D printing service, provision of grant -funded iPads available to the public to check out for in -Library use, computer training classes for the public using grant -funded laptops, the shift from physical reference collection to virtual reference collection. a variety of new youth, teen, adult, and multi -generational programs including STEM programming, and the transition to new version of ILS (integrated library system) software. TCPUs Local History Committee (LHC) and FOTCPL teamed up to host a sold -out narrated tour of significant historical sites in The Colony; LHC also partnered with the Parks & Recreation Department and Community Development Board to research and develop the Bridges Cemetery Master Plan for presentation to and approval by City Council, TCPL worked with Texas Book Consignments to place a collection box for donated materials in Austin Ranch as part of FOTCPL's fundraising efforts and continued the Library's partnership with A.A.R.P. Foundation to host the Tax Help series. Completed projects included the Rescuing Texas History Mini -Grant project that resulted in digitizing full color issues of The Colony Courier from 1998 and 1999, which are available to be viewed and searched by keyword (or name) at http://tinyuri.com/TCDigitalPapers. Staff completed the Edge Assessment, establishing initial goals for implementation of recommendations based on the Assessment. 3.8 Receive and discuss staff update regarding 'Bots and Books partnership grant The staff update included a description of the equipment and training TCPL received and plans for the Spring Break Robotics Camp. 3.9 Receive and discuss staff update regarding 3D printing service Print jobs are being done this month at no charge to provide staff with the opportunity to test a variety of print jobs and to become more familiar with the printer. Coupons are being distributed in January for free print jobs in February up to $1.50 each as a way to promote the set -vice during the soft launch. 3 January 22, 2015 3.10 Receive and discuss staff update regarding public relations events and programs: SciGirls Club: Participation in SciGirls has been low. Staff will introduce the robotics kits at the February SciGirls meeting and hope to encourage the SciGirls to assist with the Spring Break Robotics Club. Read to Rover: The Therapy Pals coordinator has canceled the series due to lack of participation; at that point, staff was informed that the target was 10 participants in the one hour. Staff plans to revisit this concept in the future with some changes to the program, including registration, to ensure targets are met. Holiday Story Time: The Holiday Story Time brought 24 children and parents out to the Library on a cold winter's evening to enjoy this event. Early Dismissal events: December's event brought in eighteen participants to enjoy a showing of Frozen; January's event brought in 9 participants for Game-A-Palooza. Literacy Night at Stewart's Creek Elementary School: TCPL's Julie Conlee issued 19 library cards and provided information about TCPL's resources and services to 57 parents and children — all in less than one hour. Family LEGOmania 1/24: TCPL's monthly Family LEGOmania series continues to be popular; registration is not required. Registration for February computer training classes (begins 1/27): TCPL is offering more computer classes beginning in February. The two-hour classes will be on Fridays at 10 a.m. Beginning Word 2010 will be offered on February 13; Intermediate Word will be offered. on February 27. Candy Bouquet Class 1130: TCPL will offer a Candy Bouquet making class taught by TCPL's own Jan Williams; registration is required. 3.11 Review list of February library programs The Board reviewed the list.
