HomeMy WebLinkAbout10/30/2014 LIB October 30,2014 CITY OF THE COLONY LIBRARY BOARD MEETING MINUTES October 30,2014 The Regular Session of the Library Board of the City of The Colony, Texas, was called to order at 7:03 p.m. on the 30th day of October 2014,at The Colony Public Library,6800 Main Street,The Colony,Texas,with the following roll call: Sandi Gehrke Place 1 Present Marlene Martin Place 2 Present Frederick Rushing,Chair Place 3 Present Judith Hebb Place 4 Present Joanna Krueger,Vice-Chair Place 5 Present Jade Kelly Place 6 Present Margaret Heermans Place 7 Present And with seven board members present a quorum was established and the following items were addressed: 1.0 ROUTINE ANNOUNCEMENTS, RECOGNITIONS AND PROCLAMATIONS: Call to order Citizen Input-None 2.0 CONSENT AGENDA Consider approval of minutes of Library Board meeting held September 25,2014 Motion to approve the above consent agenda item with corrections--Gehrke; second by Martin; motion passed with all ayes. 3.0 REGULAR AGENDA ITEMS 3.1 Discussion and reports regarding progress of Library Board goals and projects for 2014: A. Increase interaction with LISD schools in The Colony to inform school personnel,parents and students of TCPL's resources and services No report. B. Continue Board presence at TCPL events and participation in TCPL public relations activities Members Gehrke and Martin assisted with the Back to Hogwarts Bash. Members Hebb and Krueger attended the Authors and Illustrators event. Six board members and Director Sveinsson attended the Jackson-Shaw Groundbreaking for the new Marriott Courtyard Hotel at which the fund-raising partnership with FOTCPL was announced. C. Work with new businesses to have TCPL presence at grand openings No report. 1 October 30,2014 D. Increase library legislative awareness No report. E. Library visits to gain insights for future planning for TCPL No report. F. Finalize development of a Speakers' Bureau to provide trained speakers to local venues to provide information about TCPL's resources, services, and future development The Board members reviewed the PowerPoint presentation that Member Kelly provided; additional revisions were made to it during the review. 3.2 Receive and discuss staff update regarding Friends of the Library activities: "Bag of Books" Sale; FOTCPL PRESENTS! Fall membership meeting and local history tours (10/25/14);partnership opportunity The "Bag of Books"sale: This popular promotional sale ends on October 31. Fall membership meeting and local history tours 10/25: Prior to the afternoon history tour, FOTCPL hosted The Secret Lives of Ghosts: Fact & Fiction; thirty-one people attended this event, which featured a light luncheon, a brief membership meeting,and two author presentations. FOTCPL and TCPL's local history committee hosted a local history tour on Saturday, October 25; originally two tours were planned, but slow ticket sales resulted in cancellation of the morning tour. After a front page article about the tours was published in The Colony Courier-Leader, the afternoon tour sold out. Partnership opportunity: At the Marriot Courtyard groundbreaking, it was announced that "The Jackson -Shaw Foundation, in the spirit of community, is kicking off a new relationship with the Friends of The Colony Public Library with a fund raising challenge. For every dollar raised, the Jackson-Shaw Foundation will match up to $6,500 supporting the Library's proven Early Literacy AWE computer program." Lewis Shaw presented an initial check of $1,000 to FOTCPL President Wayne Bullard. The goal of this project is to raise a total of$13,000 needed to replace TCPL's early literacy computers with updated,fully-supported equipment. 3.3 Receive and discuss staff update regarding public relations events and programs: Teen Anime Club Fall Party; Computer Training Classes; MineCraft Party; Star Wars Reads Day; Back to Hogwarts Bash; "The Next Chapter" Book Club; Library Snapshot Day;Teen Anime Pokémon Tournament 11/1;booth at American Heroes: A Salute to Veterans 11/8;Bridges Cemetery Open House 11/8 Teen Anime Club Fall Party: This event to encourage new members drew twenty- seven teens on September 27. Computer Training Classes: TCPL offered computer training classes in October using the six laptops funded by the U.S. Institute of Museum and Library Services through a grant to the Texas State Library and Archives Commission. Each class was full with the maximum of six students; the students stated in their evaluation surveys that they had gained good information, felt more confident using the computer, and would recommend the classes to others. 2 October 30,2014 MineCraft Party: This event attracted 119 enthusiastic participants; this event received coverage on The Colony Courier-Leader website. Star Wars Reads Day: This event brought in thirty-one participants. Back to Hogwarts Bash: This event was a great success; initial ticket booking was slow, but an above the-fold front page article in The Colony Courier- Leader resulted in a rush for tickets. Over 70 Hogwarts students of all ages enjoyed visiting the Diagon Alley shops, attending classes, and competing against other Houses in the Harry Potter Trivia Contest. Many volunteers and staff members worked together to create this very special event. "The Next Chapter" Book Club: TCPL is seeking a volunteer to lead this club. Library Snapshot Day: Thirty-seven Library visitors completed surveys and six posed for photos during TCPL's Library Snapshot Day; results will be submitted to the Texas Library Association. Staff used this event to promote TCPL's online resources. Teen Anime Pokémon Tournament 11/1: TCPL's Anime Club will host a Pokémon Tournament as a fund raiser for the Anime Club's projects. Booth at American Heroes: A Salute to Veterans 11/8: TCPL will have a booth in the Vendors Expo. Several Board members signed up to assist at the booth. Bridges Cemetery Open House 11/8: TCPL's Local History Committee will host an open house at the Cemetery from noon-3 p.m. 3.4 Review list of November library programs The Board reviewed the list.
