HomeMy WebLinkAbout03/27/2014 LIB March 27, 2014 CITY OF THE COLONY LIBRARY BOARD MEETING MINUTES March 27, 2014 The Regular Session of the Library Board of the City of The Colony, Texas, was called to order at 7:05 p.m. on the 27th day of March 2014, at The Colony Public Library, 6800 Main Street, The Colony, Texas, with the following roll call: Sandi Gehrke Place 1 Present Marlene Martin Place 2 Present Frederick Rushing, Chair Place 3 Present Judith Hebb Place 4 Present Joanna Krueger, Vice-Chair Place 5 Present Jade Kelly Place 6 Present Place 7 And with six board members present a quorum was established and the following items were addressed: 1.0 ROUTINE ANNOUNCEMENTS, RECOGNITIONS AND PROCLAMATIONS: Call to order Citizen input 2.0 CONSENT AGENDA Consider approving minutes of Library board meeting held February 27, 2014 Motion to approve the above consent agenda item - Martin; second by Krueger; motion passed zvitli all ayes. 3.0 REGULAR AGENDA ITEMS 3.1 Discussion and consideration of proposed revisions to the Circulation Policy to (1) delete Section II.4.b. of the Circulation Policy to change the loan period for all DVDs to three (3) weeks and eliminate reference to fiction videos Motion to approve the revised Circulation Policy - Kelly, second by Gehrke; motion passed zvith all ayes. 3.2 Discussion and reports regarding progress of Library Board goals and projects for 2014 A. Increase interaction with LISD schools in The Colony to inform school personnel, parents and students of TCPL's resources and services No report. B. Continue Board presence at TCPL events and participation in TCPL public relations activities Members Martin, Krueger, and Gehrke attended the FOTCPL magazine swap. They reported that attendees would like to see more children's magazines 1 March 27, 2014 available at this event. Technology magazines, cooking magazines, Reader's Digest and National Geographic were some of the top magazines selected. C. Work with new businesses to have TCPL presence at grand openings Member Krueger stated that she would check with the Chamber of Commerce and also monitor the City's EDC information for future new business openings. D. Increase library legislative awareness No report. E. Library visits to gain insights for future planning for TCPL No report. F. Finalize development of a Speakers' Bureau to provide trained speakers to local venues to provide information about TCPL's resources, services, and future development Member Kelly will report next month. 3.3 Receive and discuss staff update regarding Friends of the Library activities: FOTCPL PRESENTS! Fairy Tea Party 4/26; FOTCPL PRESENTS! Annual Meeting and Fun Night 4/26 FOTCPL PRESENTS! Fairy Tea Party 4/26-Registration opens Tuesday, April 1St for the FOTCPL PRESENTS! Fairy Tea Party, which will be held on Saturday April 26th, from 2:00-3:00 p.m. Event participants should be at least 5 years old; children under the age of 9 must be accompanied at all times by a caregiver age 12 or older while at the Library. Registration is limited; $5 per person. Participants may come dressed as a fairy princess; they will learn tea time etiquette and enjoy a show put on by The Colony Dance, Inc. Dance Company. FOTCPL PRESENTS! Annual Meeting and Fun Night 4/26- Social begins at 6:30 p.m.; meeting begins at 7, followed by Fun Night Electronic Catchphrase Tournament. The event includes door prizes, a Silent Auction, and announcement of winners of the FOTCPL Logo Contest drawing. Event is open to all. 3.4 Receive and discuss staff update regarding public relations events and programs: LEGOmania - Pirates!; 6th Annual Great Magazine Swap; Theatre Slam; eReader Office Hours; AARP Tax Help (Wednesdays 4 - 8 p.m. through 4/9); "No Stress" Book Club; National Library Week 4/13-4/19 LEGOmania- Pirates -12 kids in grades 3-5 had a blast! 6th Annual Great Magazine Swap-110 people visited the Swap. Theatre Slam- Scripts are ready and Playhouse members will lead this event. Two registrations were received by the Playhouse, plus some of the current play cast will participate. The Playhouse will advertise at Friday's show "Here Come the Cows". eReader Office Hours will be offered Friday 4/4 at 2pm, Wednesday 4/16 at 7pm, and Tuesday 4/22 at 11am. AARP Tax Help continues on Wednesdays 4 - 8 p.m. through 4/9. 2 March 27, 2014 "No Stress" Book Club"- This book club, led by FOTCPL VP Kim Volenik, meets monthly on the 4th Wednesday at 7 p.m. Two people attended the 2nd meeting; it is hoped that participation will grow. The next meeting will be held on April 23. National Library Week 4/13-4/19- "Lives change @ your library" is the theme for National Library Week, which is a celebration of the contributions of our nation's libraries and librarians and promotes library use and support. Patrons who present their library card at the Circulation Desk will receive a bookmark celebrating National Library Week. 3.5 Receive and discuss staff update regarding Grant Projects: Target Grant (Bilingual Story Time series); application for TexTreasures Grant to digitize TCPL's local newspaper collection; participation in CTLS Inc. application for a 2015 LSTA Cooperation Grant for a'Bots & Books@Your Library' project Target Grant (Bilingual Story Time series) - Sundays at 3 p.m. -Attendance is up! In February there were a total of 9 attendees. March to date: a total of 20. The goal is an average attendance of 15 people. TexTreasures Grant to digitize TCPL's local newspaper collection- Final application has been submitted, requesting a total of $11,889 for supplies, digitization and microfilm services, and printing of 5,000 rack cards and 5,000 bookmarks. FOTCPL will provide $637 of donated funds designated for microfilming of newspapers. TCPL staff time on the project and travel costs within Denton County for the project will be paid from the Library's operating budget. Director Sveinsson provided the website to view those newspapers that have been digitized with last year's Rescuing Texas History mini-grant: http://tinyurl.com/nfmptkm. CTLS Inc. application for a 2015 LSTA Cooperation Grant: 'Bots & Books@Your Library' project. A letter of support from UTD Science and Engineering Education Center was received to accompany the grant application. 3.6 Review list of April library programs The Board members reviewed the list.
