HomeMy WebLinkAbout01/23/2014 LIB January 23, 2014 MINUTES OF REGULAR SESSION OF LIBRARY BOARD HELD ON January 23, 2014 The Regular Session of the Library Board of the City of The Colony, Texas, was called to order at 7:00 p.m. on the 23rd day of January 2014, at The Colony Public Library, 6800 Main Street, The Colony, Texas, with the following roll call: Sandi Gehrke Place 1 Present Marlene Martin Place 2 Present Frederick Rushing, Chair Place 3 Present Judith Hebb Place 4 Present Joanna Krueger, Vice-Chair Place 5 Present Jade Kelly Place 6 Present Audra Preston Place 7 Absent And with six board members present a quorum was established and the following items were addressed: 1.0 ROUTINE ANNOUNCEMENTS, RECOGNITIONS AND PROCLAMATIONS: Call to order Citizen input: None 2.0 CONSENT AGENDA 2.1 Consider approving minutes of Library board meeting held October 16, 2013 Motion to approve the above consent agenda item- Gehrke, second by Martin; notion passed u4th all ayes. 3.0 REGULAR AGENDA ITEMS 3.1 Election of presiding officers for 2014 Motion to maintain sane officers for another terns- Gehrke; second by Krueger; motion passed u4th all ayes. 3.2 Review proposed Library Board meeting schedule for 2014 and set meeting dates The Board normally meets on the fourth Thursday of each month. Director Sveinsson presented the proposed schedule which includes adjustments due to holidays and personal conflicts: 1 January 23, 2014 February 27 March 27 April 24 May 22 June 24 (Tuesday) July 24 August 28 September 25 October 30 (5th Thursday) December 4 (Combined Nov/Dec meeting) Motion to approve above schedule- Martin; second by Krueger; motion passed 7oith all ayes. 3.3 Discussion and final reports regarding implementation of Library Board 2013 goals and projects: increase interaction with LISD schools in The Colony to inform school personnel, parents, and students of TCPL's resources and services; Board presence at TCPL events and participation in TCPL public relations activities; increase awareness of library legislative issues; library visits; develop a Speakers' Bureau Increase interaction with LISD schools in The Colony to inform school personnel, parents and students of TCPL's resources and service: Member Rushing stated that he had discussed Library services with the principal of Hebron High School. Board presence at TCPL events: Members Gehrke, Kelly and Krueger participated in the Salute To Veterans event held at Five Star Complex. Members Rushing and Gehrke stated that they had attended the Photos with Santa event and were impressed with Santa and his elves and how this event was so well organized. Member Rushing also participated in the interview process with FOTCPL officers to select a consultant to develop a logo and mission statement for FOTCPL. Legislative awareness: No report Library Visits: Member Hebb stated that she had visited a library in Pasadena and gathered information about that library's fund raising event. Speakers Bureau: It was noted that addition development is needed on the PowerPoint for this project. Director Sveinsson informed the Board that Member Preston, who had been working on this project, is no longer able to serve on the Board. 3.4 Discussion and consideration of Library Board goals and projects for 2014 The Board discussed setting the following goals and that each Board member would take ownership of a goal: • Finalize the development of the presentation from the Speakers Bureau. 2 January 23, 2014 • Continue to make Library visits • Continue Board presence at TCPL events and participation in TCPL public relations activities. • Continue to increase awareness of library legislative issues. • Continue to increase interaction with LISD schools in The Colony to inform school personnel, parents and students of TCPL's resources and services. • Work with new businesses to have TCPL presence at grand openings. Motion to approve above goals- Gelirke; second by Krueger, notion passed zvitli all ayes. 3.5 Receive presentation re: new and expanded electronic resources (Mango Languages Learning Through Film, The American West, American Indian Histories and Cultures, IndieFlix, Zinio for Libraries, and Freegal streaming music) and replacement of public access computers Mango Languages Learning Through Film: Director Sveinsson gave a presentation on Mango Languages Learning Through Filin service, demonstrating the language learning features incorporated into the movie "Diary of Anne Frank" to help Spanish speakers learn English. The American West : Director Sveinsson demonstrated some of the features of this collection, including images of original manuscripts, journals, personal accounts, maps, city directories, catalogues, photos and other rare printed works. American Indian Histories and Cultures: Director Sveinsson demonstrated how to find manuscripts, artwork and rare printed books dating from the earliest contact with European settlers up to photographs and newspapers from the mid-twentieth century. Users may browse through a wide range of rare and original documents from treaties, speeches and diaries, to historic maps and travel journals. IndieFlix: Director Sveinsson demonstrated how this streaming movie service provides unlimited access to award-winning shorts, feature films, and documentaries. With thousands of films to choose from across more than 50 countries, IndieFlix offers a unique viewing experience. Films from major festivals all over the world, including Sundance, Canines, and Tribeca are included. Users may sort by language, genre, or film length with easy-to-use filters. Indieflix movies are accessible from any internet-enabled computer, smartphone, or tablet with a Web browser, as well as on Roku, xBox and Apple TV via Apple devices. Zinio for Libraries: Director Sveinsson introduced this new service through which TCPL cardholders may download digital magazine issues. Freegal streaming music: Director Sveinsson reported that each TCPL cardholders now may stream music from Freegal up to 3 hours per day, as well as being allotted up to three mp3 downloads per week. 3 January 23, 2014 Replacement of public access computers: The new computers have been received; four have been installed. Staff is troubleshooting printing issues that have been narrowed down to problem between CASSIE-manager and the new computers. Staff is working with Librarica to resolve the problem. IT is ready to image and deploy the rest of computers as soon as printing issue is resolved. 3.6 Receive presentation re: new collection resources: Story Time Backpacks; Juvenile Book Club Kits Story Time Backpacks: As TCPL believes that early literacy starts in the home between parent and child, TCPL has developed Story Time Backpacks to allow parents to take the story time experience home. Each of these fun kits, put in a preschooler sized backpack, includes books, a felt story, a story time outline, and an educational toy. Juvenile Book Club Kits: These new kits include eight copies of a title, a discussion guide, and a biography of the author. Titles include classics such as Charlotte's Web and popular titles such as Harm Potter and the Sorcerer's Stone. They are perfect for teachers, school librarians, homeschool parents, or anyone who just wants to start a book club with their friends. 3.7 Receive and discuss staff update re: CTLS membership and the CTLS Large Print Rotating Circuit service Director Sveinsson reported that TCPL joined CTLS, Inc. in October at the Level 1 membership through which TCPL will have access to vendor discounts, networking/ communications, and collaborative grant opportunities. TCPL is also participating in the rotating large print collection which will entitle TCPL to receive 50 books in rotation every 4 months. 3.8 Receive and discuss staff update regarding Friends of the Library activities: Vice- President- Membership appointment; FOTCPL PRESENTS! Pictures with Santa; new book bags Vice President- Membership Appointment: Director Sveinsson reported that Kim Volenik had been appointed as FOTCPL Vice President Membership. FOTCPL PRESENTS! Pictures With Santa: Director Sveinsson reported that the December 14th event was successful with 150 children and parents participating. A total of 96 photos were sold raising $194 for TCPL's youth programs. The Fiddle Rascals provided musical entertainment for those waiting their turn with Santa. Teen volunteer "elves" served as runners between the photographer and the printer. FOTCPL New Book Bags: The new book bags, same logo but in new color, have been received and are available for purchase. 3.9 Receive and discuss staff update regarding public relations events and programs: Texas Library Snapshot Day at TCPL; Teen Monster Make-Up Class; Teen Halloween Party; TCPL booth at Salute to American Heroes; TCPL's Local History 4 January 23, 2014 Committee Veterans event at Bridges Cemetery; TCPL's electronic resources use with iPads demonstration for Carney Elementary students; Fall Reading Club; B.B. Owen Elementary School Curriculum Night; Holiday Story Time; Early Dismissal Family Movie; eReader Office Hours (1/7, 1/15, 1/24); Kids Play Friday (3:30-4:30 p.m. on 2/7, 2/14, 2/21, 2/28); AARP Tax Help (4 - 8 p.m. on 2/5, 2/12, 2/19, 2/26); Pok6mon Tournament (6 p.m. 2/8); Writers' Circle date change; Continuing Education for day care teachers (2/20 at 7 p.m.) Texas Library Snapshot Day at TCPL : Director Sveinsson presented the report written by Youth Services Librarian Amanda Poore: On October 22nd, The Colony Public Library participated in the Texas Library Association's (TLA) Texas Library Snapshot Day. This event promotes library services and collects data from libraries throughout Texas. The library takes pictures and records statistics to take a'snapshot' of an average day in the library. The Numbers- At The Colony Public Library, 390 people walked through the doors that day. Combined, they used 115 sessions on the public computers, asked 28 reference questions, and borrowed 643 items. While in the library, 21 people attended a Toddler Story Time and 4 teens came to a Teen Advisory Panel meeting. Use of the library isn't limited to inside the building; online, 196 people visited the library's website and 192 people used online databases. What Were People Looking For?- Library customers asked all sorts of questions about library materials and services: One woman was looking for information on starting her own small business online, a young boy wanted a guidebook for his new video game, and a parent wanted to know how to use the library's resources on her child's school-issued iPad. One patron wrote that "the library provides many valuable services for [her] family, including library materials, computer resources and the printer. [They] have always enjoyed the children s programs." Why people use the library- When asked why they come to the library, most customers responded that they come to check out library materials. Three other reasons also rated highly in the surveys: to connect to the wireless internet access or use library computers, to do research, or to simply find entertainment. People also come to the library for many other reasons, such as: to ask librarians questions, to get health information, to apply for jobs, and to attend programs Teen Monster Make-Up Class: On October 26th, four teens learned from The Colony Playhouse experts how to apply monster snake-up to get ready for Halloween - two displayed the results at the Teen Halloween Party later that evening. Teen Halloween Party: Twenty teens gathered on the evening of October 26th to tell spooky stories, play games, show off their costumes, and watch the movie that the teens voted to be shown: The Grudge. TCPL booth at Salute to American Heroes: 246 contacts were made; 6 library cards were issued; one new FOTCPL member joined; one FOTCPL member renewed; fundraising: 5 caps and 5 book bags were sold. 5 January 23, 2014 TCPL's Local History Committee Veterans event at Bridges Cemetery: At the November 9th event, 86 attendees toured the cemetery; Alyce Rufi, genealogist for the Local History Committee, provided service records; American Legion Holley-Riddle Post 21 provided flags to place on veteran's graves; 7 copies of the Local History Committee book, Bridges to the Future, were sold. TCPL's electronic resources use with iPads demonstration for Carney Elementary students: Julie Conlee, Circulation Clerk, and Cary Cox, e-Services Librarian, instructed 76 fourth grade students at Carney Elementary School on how to download free ebooks to their LISD-issued iPads. Students set up their iPads to get free books from the Library's Nortli Texas Libraries on t1w Go service. Staff also showed them other useful Library-funded resources for their tablets, such as Tutor. corn, Muzzy Languages and Tumblebooks Library. Fall Reading Club October 5 - November 16, 2013: The Fall Reading Club was for children ages 4-12. 24 children picked up reading logs. The program allowed each participant who read and logged 5 books to receive a coupon for a burger. Each participant could earn a total of 3 coupons. This event was sponsored by In-and-Out Burger. B.B. Owen Elementary School Curriculum Night: At the Dr. Seuss-themed event on December 12, Amanda Poore and Holly Martin issued 27 new library cards and provided information about TCPL services and resources to over 235 parents and children. Holiday Story Time: Thirty parents and children gathered in the story corner on December 18th for this story time which included books, songs, and a puppet show presented by Youth Services Librarian Amanda Poore and Circulation Clerk Julie Conlee. Early Dismissal Family Movie: On Friday, January 17, 2014, 20 children and parents attended this showing of Despicable Me. eReader Office Hours (1/7, 1/15, 1/24): Participation has ranged from zero to five attendees. Kids Play Friday (3:304:30 p.m. on 2/7, 2/14, 2/21, 2/28): Kids in grades K-5 are invited to come and have free play with Legos and do crafts. Kids under 9 must have a caregiver age 12 or older with them. AARP Tax Help (4 - 8 p.m. on 2/5, 2/12, 2/19, 2/26): Appointments may be made at the reference desk. Pokemon Tournament (6 p.m. 2/8): Doors will open at 6 p.m. for this popular fundraiser hosted by TCPL's Teen Anime Club; entry fee is $2.00 and snacks will be available for purchase. Writers' Circle date change: Writers' Circle now meets on the third Tuesday of the month. 6 January 23, 2014 Continuing Education for day care teachers (2,/20 at 7 p.m.): Youth Services Librarian, Amanda Poore MLS, will teach a class on Early Literacy Education through Story Time. 3.10 Receive and discuss staff update regarding Grant Projects: Target Grant (Bilingual Story Time series) Director Svehisson showed the Board Members the new magnet book marks that are being used to promote the Bilingual Story time.
