MINUTES OF REGULAR SESSION OF LIBRARY BOARD
HELD ON
AUGUST 22, 2013
The Regular Session of the Library Board of the City of The Colony, Texas, was called to
order at 7:01 p.m. on the 22nd day of August 2013, at The Colony Public Library, 6800 Main
Street, The Colony, Texas, with the following roll call:

And with six board members present a quorum was established and the following items
were addressed:
1.0 ROUTINE ANNOUNCEMENTS, RECOGNITIONS AND PROCLAMATIONS:
Call to order
Citizen input: None
2.0 CONSENT AGENDA
2.1 Consider approving minutes of Library board meetings held April 17, 2013 and
June 27,2013
It was noted that the April 17, 2013 minutes had been approved at the June 27, 2013
meeting and were on this month's agenda in error.
Motion to approve the June 27, 2013 minutes - Preston; second by Martin, motion
passed with all ayes.
3.0 REGULAR AGENDA ITEMS
3.1 Discussion and reports regarding progress toward Library Board goals and projects
for 2013
A. Increase interaction with LISD schools in The Colony to inform school
personnel, parents and students of TCPL's resources and services
Member Gehrke reported that she was in communication with the Lakeview
Middle School librarian regarding plans for the school's book fair.
B. Board presence at TCPL events

Member Rushing reported his positive impressions of the July 9th Duct Tape
Creations program; he thought it was "cool" and described the variety of items
made by the participants. He also reported that he had attended the final Fired
Up About Reading program; he noted that the firefighters did a great job in
keeping the kids' attention, that they really like the READ posters featuring The
Colony firefighters, and that he had thanked them on behalf of the Board for their
participation in this program.
C. Legislative awareness
No report.
D. Library visits
Member Martin reported that she visited Collin College Preston Ridge Campus
Library; it had been three years since she had last visited it and she was
impressed by the increased availability of technology, improved seating
arrangement, and increased electronic resources.
E. Speakers' Bureau
Member Preston demonstrated a PowerPoint presentation that she and Member
Kelly have developed and discussed potential edits and improvements.
3.2 Review and discuss short range and long range planning for the Library to include
the Library's 2010-2015 long range plan, elements to include in the 2015 - 2020 plan,
methodologies to gain public input, and site considerations regarding potential
locations for a future library facility
The members discussed the types of requirements for potential locations, noting
some locations in the city that might be explored for consideration. It was suggested
that Director Sveinsson invite the Economic Development Director to a future
meeting to discuss various properties.
3.3 Receive and discuss staff update regarding Administrative Assistant vacancy
Director Sveinsson reported that the second round interviews are complete and that
she has extended an offer to the top candidate.
3.4 Receive and discuss staff update regarding Friends of the Library activities;
Donation book bins project; Vice-President vacancy; FOTCPL PRESENTS! Meet
the Authors & Illustrators (9/14/13); Fall membership program/meeting (10/5/13);
support for Back 2 School Bash booth and Back to Hogwarts event
One donation bin is presently in place in front of Market on the Square in Austin
Ranch, but may still need to be moved as the owner of the store wants to put a Red
Box in that location. Austin Ranch will find a new location for the donation box,
then promote it to the residents. A few donations have already been received - even
without any promotion. The First Vice-President Membership position is still vacant.
As of last report from the coordinator, five authors had signed up for the Meet the
Authors & Illustrators event. FOTCPL officers are in the process of lining up
speakers for the Fall membership meeting. FOTCPL officers assisted staff at the Back

2 School Bash booth and have volunteered to assist with set up for and during the
Back to Hogwarts event.
3.5 Receive and discuss staff update regarding public relations events and programs:
Summer Reading Club registration, programs, and sponsors; eReader Petting Zoo
8/17/13 and eReader Office Hours (8/8, 8/13, 8/21, 8/27); Middle School Book Club
(8/1-8/22/13); Back 2 School Bash booth (8/20/13); Back to Hogwarts Bash (8/31/13);
Pokemon tournament (9/28/13); new fall youth services programs
A total of 551 people registered in the four Summer Reading Clubs: 192 in Read to
Me, 241 in the Kids Reading Club, 65 teens in Teen Read, and 53 adults in the Adult
Reading Club; 16 of the Adult registrants posted reviews of the books they had read.
Attendance at the Wednesday and Friday school-age programs totaled 862. Sponsors
of the 2013 Summer Reading Club included: Friends of The Colony Public Library,
Chick-fil-A (The Colony), The Colony Recreation Center, Hawaiian Falls (The
Colony), Texas Roadhouse (The Colony), The Colony Aquatic Park, Schlotzsky's (The
Colony), Jimmy's Egg (The Colony), LEGOLAND Discovery Center (Grapevine) Race
Trac (The Colony), Sea Life Aquarium (Grapevine), Sonic (The Colony), InterSkate
(Lewisville), Ringling Bros. and Barnum & Bailey, Rosa's Cafe Tortilla Factory
(Lewisville), DK's Books & Bricks LEGO® Star WarsTM Summer Tour.
The eReader Petting Zoo brought in two participants. To date, the August eReader
Office Hours have not had any participants, however, individualized assistance was
given to at least one customer on using her iPad for Overdrive & Freading.
Director Sveinsson shared photos and statistics for the Middle School Book Club and
the Back 2 School Bash. Eight teens registered for the Middle School Book Club; five
participated in reading and discussing James Patterson's Middle School: The Worst
Years of My Life. At the Back 2 School Bash, staff and volunteers provided
information about TCPL services and resources to 783 contacts and issued 27 library
cards.
All 85 free tickets for the Back to Hogwarts event "sold out" in less than twelve
hours.
TCPL's teen anime club's fall fundraiser is the Pokemon Tournament that will be held
on Saturday, September 28, at 6 p.m.
Youth Services Librarian Amanda Poore will introduce two new programs this fall.
One is a monthly Family Story Time for all ages to be held on the second Wednesday
of each month at 7 p.m. which is planned for a time when parents who work outside
the home may be more likely to attend than the story times that are scheduled during
the day. The other new program series is Kids Play Friday, to be held every Friday
from 3 to 5 p.m.; during this time, kids in grades K-5 can come and hang out to color,
do crafts, and play board games and video games. In keeping with TCPL's normal
policy regarding supervision of children, those attending Kids Play Friday who are
under the age of 9 must have a caregiver age 12 or older with them.

3.6 Receive and discuss staff update regarding Grant Projects: NTLP eReader Lab
Grant; TSLAC Impact Grant; TSLAC Mobile Presence Grant; CoServ Charitable
Foundation Grant
The final meeting of the libraries involved in the NTLP eReader Lab Grant will be
next Wednesday; all reports and the survey required by the grant have been
completed by TCPL. To date, no decision about what will happen with the NTLP
Petting Zoo collection of eReaders and tablets.
To date this month, 207 children and teachers have participated in early literacy
activities provided by the Impact Grant-funded outreach program.
The mobile presence grant completion date has been extended to September 30.
The CoServ Charitable Foundation check for $ 7,875 was presented at this week's City
Council meeting.
3.7 Review list of August library programs
The board members reviewed the list.
And with no further business to discuss the meeting was adjourned at 8:35 p.m.
